Purpose of the Job


The HR Specialist is responsible for providing functional support on managing
onboarding process but not limited to scheduling interviews, updating and
maintaining HR data, pre-joining and on-Boarding process and formalities.
Aligning employees to business objectives, recruiting the right talent,
developing staff performance, supporting employee development, enhancing
recruitment efforts, planning strategic HR initiatives, managing HR
consultants, running orientation and employee engagement activities.


Key Accountabilities



  • Onboarding and Exit Support Management

  • Maintaining checklist to track onboarding status from attestations to Movement status to visa applications and create follow up schedules.

  • Coordinate and follow up with mobility partner to ensure progress on onboarding and exit files

  • Weekly status update to onboarding SPOC in HR team, escalate delays if any

  • Air tickets arrangement- new joiners and exit

  • Hotel stays bookings and arrangement of airport pick up - new joiners, pre assignment visits and repatriation where applicable

  • Updating employee folders with all employee related documents

  • Collating necessary documents for attestation - Family related certificates, degree certificates, passport copy, national ID's

  • Preparing employee initiation forms, coordination on goods movement, packers and storage facilities, follow up to ensure adherence to timelines for onboarding and exit employees


  • I - share update for new joiners and exit




  • Medical & Life Insurance Management and Reporting




  • Administration and claims support for Life Insurance




  • Invoices and Reimbursement



  • Raise Shopping carts for travel and other services related to Santa Fe, medical insurance and other external vendors

  • Complete GRN and follow up on payment with finance

  • Check/ validate invoices for all relocation services initiated from the time of packaging, storage, air & sea freight, and final move

  • Hotel stay invoices for long term and short-term stays, Kanoo Invoices


  • Check reimbursements for new joiners who have accrued pre joining cost related to the assignment (attestations from families, PCR tests etc.)




  • HR Operations:



  • Organize office events (engagement activities, award ceremonies, induction coordination)

  • Meeting key stakeholders to discuss people challenges

  • Providing guidance on people practices such as restructures and succession planning

  • Bringing people expertise and developing solutions to help the business area to deliver its strategy

  • Influencing and building relationships with people around the business

  • Acting as a local point of people expertise for specialist teams that are implementing new people approaches

  • Questioning and challenging others to get to the root of people and business issues

  • Coaching and providing feedback to key stakeholders to help improve business efficiency.

  • Consult with line management and provide daily HR guidance

  • Lead in the onboarding process of new team members

  • Ensures data accuracy and reporting for HRIS

  • Work closely with management and employees to improve work relationships, build morale, and increase productivity and retention

  • Assist with the execution of full employment life cycle

  • Monitor and report on workforce and succession planning

  • Identify training needs for teams and individuals

  • Evaluate training programs

  • Process employees 'queries and respond in a timely manner

Qualifications
* Bachelor's degree


Experience
* ‎6-‎8 years of experience in HR and Administration


Knowledge and Skills
* Excellent English communication skills (Verbal & written)
* Customer Service oriented
* Excellent organizational skills
* MS Office proficient
* Strong team worker, with a "can-do" attitude
* Numerate, detailed oriented
* Working knowledge of HR databases
