Primary Responsibilities
In the role of Administrative Assistant/ Graphic Designer, we'll count on you
to:
* Answer and direct phone calls, deliver messages, greet employees and visitors, schedule conference calls, and distribute incoming faxes and mail
* Complete word processing for letters, memos, reports, labels and other documents as needed
* Order supplies and file as needed
* Process expense reports for Managing Director, as well as other team members as needed
* Prepare monthly accounting reports i.e expenses, credit cards & petty cash
* Process Supplier invoices for payments (Office rent, Car rental, cleaning services, & Utilities)
* Organize office and assist team members in ways that optimize procedures
* Coordinate organization of office events
* Resolve office-related malfunctions and respond to requests or issues
* Business travel arrangements and meetings coordination
* Assist administrative staff as needed
* Assist in designing projects/ proposals powerpoint presentations
* Assist in projects/ projects reports (design side/ final look and feel)
* Perform other duties as needed
Qualifications

Required Qualifications

* Bachelor's Degree in Business Administration or equivalent
* Self-motivated, detail-oriented professional, ability to multitask a must
* Proficiency with MS Office including Word and Outlook ( Professional Level in Microsoft powerpoint is highly desired)
* Knowledge in using Adobe Indesign
* Ability to handle confidential information
* Flexibility and ability to prioritize and handle multiple tasks and various managers in a fast-paced environment
* Excellent verbal and written communication skills including grammar, punctuation, proofreading, spelling and telephone skills
* An attitude and commitment to being an active participant of our employee-owned culture is a must
Preferred Qualifications
* ‎3+ years of related experience
* Knowledge of "back-office" computer systems (ERP Software)
