Context


At SYSTRA, we 're always looking to strengthen the organization by adding the
best available people to our staff. We're seeking an outgoing Receptionist for
SYSTRA KSA. The ideal candidate will have excellent communication and
organizational skills and requires excellent interpersonal skills for working
closely with others across various departments.


Main duties



  • Visitor management, welcoming visitors and/or employees, managing visitor presence, notify company personnel of visitor's arrival, visitor tracking throughout office premises.

  • Extend administrative support to the Office & Logistics Department.

  • Answers, screens, and directs phone calls to company personnel, records messages and schedules appointments.

  • Create and manage both digital and hardcopy filing systems for all partners.

  • Prepare and maintain accurate spreadsheets and data reports.

  • Schedule and confirm appointments and maintain event calendars.

  • Manage company email, prepare correspondence and documents

  • Organise meetings, to maintain calendars and initiate calendar invites with meeting follow-up.

  • Set priorities, plan and organize tasks with accuracy to setting activities.

  • Coordinating internal and external events.


Personal qualities



  • Bachelor's degree (or equivalent) in communications / business or similar field.

  • Experience in a receptionist, secretarial or similar role.

  • Proficiency in Microsoft Office.

  • Excellent interpersonal and communication skills.

  • Organized and resourceful.

  • Customer-focused.

  • Active listener.

  • Adept at prioritizing, scheduling and multitasking.

  • Ability to handle office equipment (e.g., the telephone system, printer and fax machine).

  • Fast and eager learner.
