Job responsibilities:
Area 1: Documentation /Reporting
* Prepare and manage correspondence, reports and documents.
* Maintain databases.
* Handle incoming mail and other material.
* Set up and maintain filing systems.
Area 2: Work Coordination
* Take type and distribute minutes of meetings.
* Coordinate the flow of information both intenally and externally.
* Communicate verbally and in writing to answer inquiries and provide information.
Area 3: Scheduling
* Set up work procedures.
* Collate information.
* Arrange and confirm appointments.
* Maintain schedules calendars.
Area 4: Office Administration/Management
* Manage office spaace.
* Operate office equipment.
* Liaison with internal and external contacts.
* Implement and maintain office system.
Skills
Education/Certification/Experience
Education/Certifications (specific educational qualifications, degree,
certification required for this role)
1)Diploma in Office Management or equivalent with 2 years experience in the
Secretarial field.or High school with 4 years
2)Knowledge and experience of relevant software applications - spreadsheets,
word processing, and database management
3)Proven experience of producing correspondence and documents
Specific knowledge & business understanding
1)Proficient in spelling, punctuation, grammar and other English language
skills
2)Knowledge of administrative and clerical procedures
3)Knowledge of business principles
4)Required typing speed
