* PROJECT BACKGROUND
The Business Egypt Program is a five-year, USAID-funded program implemented by
DAI. Business Egypt aims to substantially increase sales revenues and
investments among Egyptian micro, small, and medium-sized enterprises and, by
so doing, create new job opportunities, especially for women and youth. The
project will co-invest with an ecosystem of institutions--business service
providers, business associations, supportive government institutions, and more
--to offer new products and services enabling MSMEs to better meet market
demand and increase their sales. Business Egypt's proposed sectors are
renewable energy, ICT, and 3 additional sectors TBD. The project will operate
from offices in Cairo, Alexandria, and Minya/Assiut (TBD).
2. POSITION DESCRIPTION
The Administrative Assistant is responsible for the operational, clerical and
administrative tasks of the project.
3. KEY DUTIES AND RESPONSIBILITIES
* Handle routine administrative tasks, to include calls, mail, and electronic communications and routing messages and information to appropriate individuals.
* Prepare staff travel and/or lodging documentation for processing of invoice payments.
* Assist in making reservations for accommodation and/or flights.
* Coordinate all refreshments for meetings and trainings.
* Research and maintain an up-to-date database of accommodation options (including contact details and prices) throughout project locations working with procurement, manage any agreements/contracts in place.
* Assist with data entry and record management for all aspects of operations department administration.
* Assist the facilities department in maintaining office supplies, ordering replacements and ensuring accurate completion of the stock records.
* Submit requisitions as requested by the operations team.
* Support the operations team with any filing, printing, copying and scanning needs.
* Assist with tagging of assets and related paperwork/filing for inventory management.
* Prepare any staff announcements as instructed.
* Process any expenses or petty cash in a timely manner.
* Coordinate facilities services such as vehicle licenses, generator repairs and facilities maintenance.
* Provide support to Regional offices as required
* Support STTAs in country with logistics and admin needs
* Other duties as assigned.
4. QUALIFICATIONS
* Baccalaureate degree and six years of overall work experience
* Experience of working with international organizations in Egypt is preferred.
* Experience working on USAID-funded programs is an advantage.
* Basic computer and office machinery skills.
