ABL Group, headquartered in London, is a leading independent global energy
and marine consultancy working in energy and oceans to de-risk and drive the
energy transition.

Our business is growing, and ABL Dubai now has an opportunity for an Office
Manager. In this role, you will manage a team of administration professionals
in the UAE and oversee regional administrative and HR tasks.


The role


As Office Manager, you will manage the administrative team within the Dubai
office, coordinating office operations and procedures to ensure organisational
effectiveness and efficiency.
Your responsibilities will include:
* Actively manage Dubai administration team to ensure office facilities, administration, reception, and secretarial duties are effective and efficient
* Supporting the Country Manager, Regional Managing Director, and other Regional Managers / Business line leads, as required
* Oversight and coordination of administrative and HR tasks throughout the region (UAE, Bahrain/KSA, Qatar, Egypt, India, and South Africa)
* Liaising with HR & Operations Directors to maintain global census data and other HR-related documentation
* Assist QHSE Director with annual audits and as required
* Work closely with the Regional Finance Director to review monthly salary data
* Handling of all staff personnel records and ensuring enrolment on medical insurance, travel insurance, personal accident insurance, life insurance, and others, as applicable
* Provide support to Country Managers and Regional Managing directors to prepare, update and issue ABL employee contracts
* Onboarding/offboarding of staff in line with company HR procedures
* Oversee the management of MOHRE visas and work permits in liaison with the Public Relations Officer
* Manage and ensure updates of legal documents, licenses, and permits for the regional operations
* Ensuring implementation and adherence of HR, HSE, and other group policies
* Maintaining freelancer and subcontractor database, issue of agreements and QHSE packs in line with company procedures
* Oversee regional travel arrangements, maintain relationships with local travel partners and assist as required
* Oversee project-related administration tasks and maintenance of local job register ensuring company procedures are followed
* Oversee timesheet submissions and approvals, monitor billable hours, time in lieu, and annual leave
* Organise key office meetings and recording of minutes, as applicable
* Management of marketing events and company social events
* Oversee the ordering and maintaining of stationery and office equipment


Qualifications and experience required


As the successful candidate for this role, you will be an administrative
professional and have experience in a similar role
The successful candidate will:
* Administrative professional with a relevant degree or qualification or vast experience
* Have seven years or more experience in a similar role
* Confidence to make decisions independently and to judge when management collaboration is required
* High level of professionalism, organised with attention to detail with common sense and ability to exercise good judgment
* Ability to organise and prioritise own work to deliver a high standard to tight deadlines
* High degree of computer literacy to include competence in current Microsoft applications, file management, and internet
* Evidence of tact and discretion in dealing with confidential or sensitive matters
* Have good interpersonal skills, a strong team player with a proactive approach
* Have excellent written and spoken English (other languages a benefit)
