multifaceted role that encompasses providing comprehensive administrative
support to the CEO while also assisting in human resources activities. This
position requires impeccable organizational skills, attention to detail, and
the ability to maintain confidentiality. The role involves coordinating tasks,
managing schedules, handling HR-related tasks, and contributing to the smooth
functioning of the CEO office.
Key Responsibilities:
Personal Assistant Responsibilities:
* Manage the CEO's calendar, appointments, and meetings, ensuring optimal time management.
* Coordinate travel arrangements, including flights, accommodations, and itineraries.
* Prepare and organize materials for meetings, presentations, and conferences.
* Maintain a structured filing system for documents, records, and correspondence.
* Communication Liaison: Serve as a bridge of communication between the CEO and department directors. Collect, organize, and relay information to and from relevant parties.
* Follow-Up Tasks: Track action items, tasks, and decisions arising from meetings. Monitor progress and ensure timely completion by collaborating with department heads and their teams.
* Draft, edit, and proofread communications, reports, and documents as needed.
* Undertake special projects and assignments as directed by the CEO.
HR Admin Responsibilities:
* Assist in the recruitment process, including posting job openings, screening resumes, and scheduling interviews.
* Coordinate onboarding activities for new employees, including paperwork, orientation, and training.
* Maintain accurate employee records, including contracts, benefits, and attendance.
* Assist in the preparation and distribution of HR-related documents, such as policies and procedures.
* Manage the leave and attendance tracking system for all employees.
* Support employee relations by addressing queries, concerns, and requests.
* Assist in organizing employee engagement initiatives and company events.
* Ensure compliance with HR policies and relevant employment laws.
