R ole Purpose


To work as a member of the Business Operations to ensure smooth and efficient
running of British Council resources and services which meet corporate
standards. These include procurement and administration services and processes
that meet corporate standards; facilities and HR services to support the
operation in meeting country and regional objectives; as well as to maintain
an appropriate working environment for staff and visitors, which is safe,
comfortable and efficient and makes a positive statement about Britain and
British Council to clients, customers and staff


Main Accountabilities:


Roles that focus on the delivery of excellent services and business operations
to profitability, quality and timeliness standards by providing efficient
support to all staff working across Saudi Arabia in three different locations.


Procurement:



  • Management of Procurement process for Saudi Arabia; ensuring compliance with corporate standards and policy.

  • Managing Vendor database and tying it to the procurement process to achieve efficiencies and transparency.


  • Regular Supplier selection procedure review and market testing of Suppliers.
    Resources and Facilities Management:




  • To ensure effective management of resources (services, facilities, and processes) to support the operation in meeting country objectives.



  • Management, implementation and overview of Business Continuity Plans with department head and Country Director.

  • Management, implement and overview of Health & Safety compliance with corporate policy and local labour law.

  • Managing the compliance of Information Management and protection standards within British Council.

  • Managing the security requirements of all premises and staff countrywide.

  • Support department Manager to ensure office services and supplier contracts are managed effectively.

  • Maintain and monitor stock of (accountable) office stationery and order as required, liaising with printers for locally printed stationery using British Council standards.

  • Managing relationship with Insurance company and performing reconciliations.

  • Support and facilitate the induction of new staff - staff accommodation and adhoc queries.

  • Dealing with Teachers and other staff queries after-hours and managing an effective response


Financial Compliance:



  • Support Finance staff with bank reconciliation and FCCF compliance. Maintain key contacts with bank relationship managers.


Staff management and training



  • Manage two resources co-ordinators, with training and appropriate delegation. Remotely managing admin coordinators in other cities.


Accountable For:



  • Completion of own development tasks in line with agreed development plan.

  • Meeting corporate performance and line management standards.

  • Training delivered ensures staff are up to date with corporate standards in administration/procurement and able to fulfil their duties.

  • Compliance with HR policies child protection and EO&D policy in relation to all business operations.
    miscellaneous tasks to support line manager, which will vary according to the
    sector and to the manager's remit, e.g. completing some corporate governance
    reporting (to ensure that the business is being run properly and complying
    with legislation and regulations) or conducting research and as any additional
    tasks to fulfil business needs


About You (essential requirements for the role):



  • English language proficiency written and spoken English at IELTS ‎6 or equivalent

  • Arabic - written & spoken

  • Bachelors' degree or diploma in Business Administration or equivalent relevant experience

  • Minimum of ‎2 years' experience in Business Administration, Procurement, Facilities Management and on ground Financial Management

  • IT skills, using Microsoft office

  • Project Management and Operations expansion experience

  • Good level of time management and organisational skills


Desirable requirements for the role



  • University degree

  • Understanding and application of SAP, ERP systems

  • Advance computer diploma
