The role of the Operations Associate is to support a wide variety of projects,
programs, initiatives, and processes in our Knowledge & Analysis (K&A)
operational areas. This role will contribute to resource planning, financial
planning, operational KPI tracking and reporting. This role will administer
processes and technologies to optimize K&A operations. This role will ensure
that Knowledge & Analysis operations are efficiently run, sustain business
process changes and implement continuous improvement initiatives. The success
of this role will be measured by the responsiveness, operational intelligence
and efficiency of Knowledge and Analysis operations. The role is responsible
for capturing department data, generating report findings and recommending
ways to improve the key performance metrics.
Responsibilities
* Management Information Systems: Design and develop critical operational reports enabling leadership with the right information to assess operational status, efficiency, and decisions.
* Administer: Serve as a technical administrator and data champion of the Knowledge & Analysis operational systems, including the content development platform and operational information systems.
* Process optimization: Assess, identify, improve and document Knowledge & Analysis processes. Maintain departmental process documentation, periodically update process changes, monitor process inputs and outputs, and scale processes depending on the business needs.
* Report the status of deliverables across projects and assist the operations team with important meetings, such as the Project Review Committee, events and related operational tasks.
* Understand the cross-departmental processes, identify and monitor process end point handoffs, ensure improvements are made in the operational efficiency of Knowledge & Analysis and other departments.
* Establish alerting mechanisms to identify operational issues, reduce the time to resolve operational bottlenecks, and improve efficiency. Measure and improve customer satisfaction.
Competencies
* Proficient in spreadsheets, operational database and information management systems.
* Attention to detail, Excel macros, database queries pro, analysis, and developing dashboards.
* Exemplary interpersonal and communication skills, host meetings for large audiences.
* Collecting and organizing information from various sources. Strong analytical and problem solving skills. Ability to examine data relating to problems and identifying the best methods to analyze it.
* Use statistical methods to analyze information and develop solutions to business problems. Write memos and reports for the leadership to look over the findings and recommendations.
* Fluent English language skills. Strong desire to learn and grow. Time management skills.
Qualifications
* Bachelor's/master's degree in computer science, management information systems and statistics.
* 4+ years of experience in operational data analysis using spreadsheets, developing and configurating operational dashboards and implementing business process optimization programs, configuring project and program management systems.
* Mastered one business intelligence and one process optimization platform such as Creatio, Elsevier Pure, Tableau, Sisense, Power BI, POSTGres/SQL database, Clarivate, etc. Ability to write Excel macros, JSON/XML data, database queries and data loading are must-have skills.
* Administrator expertise in databases, content development, operations and project management software. Mastered the skills of data accumulation, data loading, data querying, dashboard development and sharing operational insights enabling key decisions.
* Ability to work in a team structure that operates in a cross-functional environment with diverse backgrounds.
