Commercial Coordinator Intern - KSA
REPORTING TO: Retail Operations Manager
LOCATION: Riyadh - KSA

J O B D E S C R I P T I O N


MAIN PURPOSE
To provide consistent support with boutique sales management and assist the
Retail Management to ensure smooth daily operations.
Key Responsibilities
* Administrative Assistance to Retail Management:
o Provide administrative support to the Retail Management.
o Organize Meetings and events.
o Assists in the preparation of meetings and presentations, prepares and
distributes minutes of meetings or any other relevant documentation.
o Draft correspondence or other required documentation and follow up on
specific matters
* Coordination with Boutiques:
o Prepare monthly celebration newsletter.
o Review submissions of reports or responding to emails prior to meeting
deadline (Monthly schedule, Annual Leaves planning, Briefing Calendar, etc.)
o Collect & Share information from boutiques as required.
o Boutique Vestiaries coordination: consolidate requirements, place orders
within annual budget for the market.
o Find a proper Vendors and create them on SAP.
o Follow up with BTQs for the daily supplies and create POs accordingly. Share
the invoices with the accounting team and follow up with them for the
payments.
o Review and validate contracts related to suppliers providing boutique
cleaning and other operational aspects with Central Legal Department and
follow up with them.
o Provide daily support to boutiques (procedures, IT issues, iPads updates)
o Support Operations during major regional Cartier events
o Support Retail Operations Manager and Area Sales Manager in preparing
analysis and presentations for the Retail meetings.
o Supporting Ops team to follow up the result of RetaiOS apps and follow up
with BTQ team as well.
* Coordination with Head Office (Finance & HR):
o Complete the monthly commission file.
o Coordinate with finance on petty cash & expenses submission within the
timescale.
o Assist in planning onboarding for New Joiners in boutique's team
o Announcements (new joiners, leavers, promotions, etc.).
o Support New staff onboarding by following up on creating sales code, e-mail
account, staff code.
JOB TITLE


Required experience:
* Proficient in Microsoft Word, PowerPoint and Excel.
* Effective communication skills and a good command of both oral and written English.
* Possess flexibility and adaptability to manage changing work environments.
* Ability to work collaboratively and effectively within the team and the organization.
