Responsibilities
* Completes a broad variety of administrative tasks for the GM, including but not limited to those mentioned below;


Diary and meeting management
* Provide comprehensive diary management, having full autonomy to make decisions using initiative to resolve conflicts and exercise judgment on priorities.
* Proactively monitor meeting attendance, taking ownership to ensure requests and issues are appropriately delegated and resolved effectively.
* Facilitate all logistical arrangements and ensure all documentation is prepared in advance of meetings like agenda and pre-reads.


Communication management
* Manage communications, monitor emails, taking appropriate action, cascading, or delegating accordingly.
* Proofread and sense check all communications and documentation, complying with compliance and risk procedures.


Time and expense management
* Collate and process expenses ensuring compliance with policy and approval process.
* Ensure timely submissions and avoid any delays in the process.


Travel management
* Arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
* Ensuring the bookings are in line with travel and expenses policy.


General administrative and project support.
* Works collaboratively with Finance, Legal, Compliance, and business management teams on various projects.
* Custodian of All Official, and confidential documents maintaining high standards of confidentiality and trust.
* Management of all written correspondence including invites, escalations, letters, and confidential paperwork, filing, scanning, organizing all documentation of the office & managing GM's Office filing systems.


Qualifications & Skills required:
* Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
* Very strong interpersonal skills and the ability to build relationships with stakeholders.
* Expert level written and verbal communication skills (English & Arabic)
* Demonstrated proactive approaches to problem-solving with strong decision-making capability
* Emotional maturity
* Highly resourceful team-player, with the ability to also be extremely effective independently.
* Proven ability to handle confidential information with discretion, be adaptable to various competing demands.
* Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
* Experience in a multinational environment is preferred.
* Attention to detail and ownership for the delivery of high-quality work.
* Ability to build relationships across diverse teams both locally and globally.
* The ability to plan and anticipate potential problems.
* Knowledge of time zones and best means of travel between multinational locations.
* Broad knowledge of Microsoft Office packages, MS teams and Concur
