We are currently recruiting for Administration Assistant to join City &
Guilds office in Dubai.
We are looking for passionate and ambitious individuals to join our small and
friendly team.
You will be a part of a Team of ‎8 here in Dubai. Our office is located in
Knowledge Park, and it is easily commutable on the tram.
This is an on-site office role, so we would like you to be able to commute to
our office on a daily basis.

You will work ‎35 hrs a week, on the permanent contract.
As an Administrative Assistant you will help and support the team's
operational and customer service requirements for the Middle East region.
Reporting to the Office Manager in MENA, you must have a keen attention to
details, excellent communication skills and must be a team player.
This appointment will be made on merit.

About The Role


What you will be doing:
* First point of contact for telephone and individual enquiries
* Manage the daily front office operations including receiving guests, answering and forwarding calls as appropriate
* Tracking of high volume of courier packages and deliveries
* Ensure availability of office stationery and pantry supplies
* Assist with filing and photocopying as required
* Ensure all Incoming and outgoing posts are distributed accordingly
* Assist in sourcing suppliers for office equipment repairs and maintenance
* Place purchase orders and request payments for regular office suppliers including courier, office supplies and printers, etc.
* Ensure all documents are logged, assigned and dispatched to the clients; followed up and tracked to closure
* Coordinate with UK offices regarding issues relating to proper dispatch and distribution of documents


About You

* Regional Customer Service experience
* Proven experience in a small team environment
* Proven skills in a broad range of software packages including Word, Excel, Email and Internet
* Excellent interpersonal and communication skills with a good telephone manner
* Able to demonstrate strong commitment to customer service
* Highly self-motivated, flexible with ability to learn quickly, multitask and prioritise workloads
* Able to follow set procedures and show attention to detail
