The Candidate


As Personal Assistant, **** you will join a commited team, driven with the
intent of delivering 'FIVE-star' experiences to an international diaspora in
the heart of vibrant Dubai and Zurich.


The VIBE at FIVE is all about performing optimally while having the best
professional experience of your life. You will be expected to have a passion
for your role, disrupt norms all whilst having the best time of your life.


As our ideal candidate, you have proven experience in a highly active
environment. Your organizational, communication, and leadership skills are
second to none and you enjoy developing guest solutions that break boundaries.


We are looking for a natural self-starter who demonstrates creative and
critical thinking abilities, can focus on, and execute, tasks with a sharp eye
for detail. An outgoing, people-friendly personality with an ability to think
'on your feet' during changing situations is also essential.


You'll work closely with the management team to develop constantly evolving
service goals.

Key Responsibilities

Provide general administrative and clerical support in the office / site
office
* Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
* To manage all commercial and technical documents for the project/s
* Maintain executive 's agenda and assist in planning appointments, meetings, conferences etc.
* Handle confidential documents ensuring they remain secure
* Draft letters, purchase orders, work orders, request for proposals and other related task in this matter
* Perform all clerical works, which include filing, typing, photocopying, email correspondence and other works being assigned from time to time
* Maintain and update the database and also manual filings
* Receive and check all incoming correspondence and transmittal of drawing documents and other related documents
* Manage other staff or visitors, on phone or in person, if required
* Review each document for conformity and accuracy
* Keep all project documents orderly complete and categorized for easy accessibility to specific records and projects
* Ensures delivery and receipt of all documents by deadlines
* Makes sure that controlled copies of latest approved documents are given to the appropriate staff members
* Maintain an updated record of all approved documents and their distribution clearly
* Log incoming and outgoing documents and emails
* Maintain the documents in the Document Control office under safe custody without any damage and easy accessibility
* Generate various document control reports as required
* Any other work required by the company under your profession

Requirements
What We 're Looking For**
*
Bachelor's Degree / Diploma in related discipline of secretarial/document
control experience
* Strong administrative and personal assistant skills with an ability to work well in a fast-paced environment, an effective planner with proven time management skills is necessary; attention to detail, personal commitment, efficiency, flexibility with great team liaison skills
* Good written and oral communication skills in English
* Multiple languages, especially Arabic is a plus
* Highly organized, pro-active and can work with minimal supervision
* The ability to work at his/her own initiative and around tight deadlines
* Flexibility and adaptability to juggle between a range of tasks and work extra hours to meet deadlines
* An understanding of confidentiality issues and the use of discretion
* Proficiency in the use of MS Office and other database software
