Job Description:
Basic purpose of the role:
The Administrative Officer is responsible for the daily management of
Administrative services for Airbus Africa and Middle East employees and any
Airbus subsidiaries with DAFZA and all concerned authorities inside or outside
of the UAE (municipality, immigration, consulates, Civil Aviation Authority,
etc.).
Main responsibilities:
Supporting Administration Manager in office maintenance and facilities
management tasks:
* Ordering and maintaining stock of office supplies including stationary rooms and pantry supplies.
* Hosting conferences and events, coordinating for catering orders and liaising with other suppliers.
* Overseeing quality of office cleaning, maintenance services and availability of parking facilities .
* Liaising with couriers for sending and receiving deliveries.
* All other duties associated with the smooth running of the Office.
Assisting the Administration Manager with administration tasks as required,
typical duties to include:
* Clerical support for visa application.
* Managing e-wallet and combined expenses report as required by the Finance department.
* Liaising with the Procurement department for various office purchases and inputting Purchase Orders via SAP.
* Managing business cards orders.
* Preparing Gate Passes for the visitors of the warehouse.
* Providing temporary replacement for secretaries of other departments.
* Other office administration duties may be required.
Assisting the HR Department with secretarial and clerical tasks as required,
typical duties to include:
* Managing medical insurance applications and cancellations, updating census list upon medical insurance renewal.
* Gathering employees data and maintaining the database; review and combine this information into established reports. May develop new reports or revise existing reports, verifying data gathered.
* Assisting with specific projects related to HR Administration, Compensation and Benefits, Recruitment.
* Assisting with filing, scanning, copying and binding.
* Other HR related tasks may be appropriate.
Personal profile:
* Degree or Diploma and at least 5 years relevant work experience.
* Work experience in Dubai is preferred.
* Excellent written and oral communication skills.
* Good organizational and interpersonal skills are strongly required.
* Advanced proficiency in the use of MS Office applications is the must.
