Position Summary:
The position holder is responsible for carrying out comprehensive
administrative and organizational support to Viatris Egypt leadership team
(45% of time), medical team (30% of time) and enabling functions (25% of
time).This includes, but not limited to: Agenda planning and minutes, events
and travel coordination, expenses, preparation of power point presentations,
excel work sheets support, creating POs.
Primary Tasks:
* Full awareness & implementation of internal policies.
* Full awareness & implementation of all business process.
* Expedite flow of work, follow up and anticipate priorities to ensure deadlines are met regarding all the activities related to Viatris Egypt leadership team.
* Prepare Expense reports and reconcile T&E statements for Viatris Egypt LT and enabling functions heads
* Maintain receipts and records relating to office expenses
* Liaise with BCD/other vendors for flights, accommodation and preparation of detailed itineraries including liaising with Viatris colleagues regarding travel, accommodation and transfer arrangements for meetings.
* Assist various members of the team with office familiarization including room preparation and their appropriate storage.
* Ensure in coordination with procurement and compliance, completion of interact, MAPP and FCPA paperwork for vendors.
* Initiate POs in SmartSource for payments to suppliers and follow up with vendors to ensure delivery of orders in timely manner and follow up with finance for final payments.
* Add new vendors on Smartsource as appropriate and required and coordinate with the vendor the requirements and follow up with the internal global team on the process.
* Provide administrative support to the staff, preparation of presentations, type letters and maintaining appointments, etc.….
* Follow-up on department activities, pending issues and deadlines and participates in resolving the administrative problems in the department.
* Manage the manager's calendar and meetings.
* Build an appropriate E. Filing system
* Complete any assigned task as required on timely manner
Level of Responsibility:
Tasks are performed under the general direction of Viatris Egypt Country
Manager; however, the incumbent is fully responsible for the operational /
business results of his/ her job.

Essential Personal Qualifications:
* Minimum of 1-3 years of experience in office administration.
* Fluent English Language (written & spoken).
* Working knowledge of MS Office, Word, Excel, Power Point
* Excellent typing skills with high speed in both Arabic and English
* Excellent written and oral communication skills in both Arabic and English
* Organized and Disciplined
* Strong attention to detail.
* Excellent interpersonal skills.
* Excellent time management skills
