Key Responsibilities:
* Responsible for supporting all business units to ensure that operational activities are executed smoothly to meet the company's objectives.
* Responsible for the implementation phase of all new projects by the company including coordination, communication between functions, and status reporting.
Specific responsibilities include:
HMS / Policies:
* Present all new policies, instruction guidelines, and procedures from the regional office to onshore and offshore staff.
* Make sure all onshore staff are aware of acting upon new and current company policies and strategies.
* Ensure HMS Policies are kept current and shore staff is aware of their implications.
* Maintain the required HMS visits and inspections from management staff.
* Support in Policy implementation, improvement of strategies and workflow, and culture development.
* Support the development and improvement of operational procedures, ensuring compliance with marine industry standards, regulations, and company policies.
Cross-Functional Collaboration:
* Collaborate with various internal departments to ensure efficient coordination between vessel operations, including the commercial, technical, and safety teams; in addition to communicating with external stakeholders including site personnel, regulatory authorities, and contractors to ensure smooth operations.
* Collaborate with the Marine Standard Coordinators to implement and monitor the effectiveness of the company's Safety Management System (SMS).
* Provide administrative support for various operational activities, including procurement, logistics, scheduling, and documentation.
* Organize and coordinate all management meetings required by the management.
Support in Audits:
* Assist in conducting audits and inspections to ensure vessels adhere to safety protocols, operational guidelines, and environmental regulations.
* Support the responsible department to close the finding actions in the OVMSA/ISM Office Internal Audit.
Support New Project:
* Responsible for the implementation phase of all new projects by the company: including meeting coordination, documentation on SharePoint, communication between functions, and status reporting to project managers.
* Collaborate with project teams to support the planning and execution of site improvement projects, including budgeting, resource allocation, and progress monitoring.
HSE:
* Handle all documents and correspondence related to operation and HSE issues.
* Support the implementation and maintenance of marine safety and security procedures, ensuring compliance with relevant standards and regulations.
* Maintain accurate operational and safety records, including incident reports, maintenance logs, and crew certifications.
* Provide support during emergency response situations, assisting in incident investigation and implementing corrective actions.
* Responsible for monthly HSE checkups for the office.
Reporting:
* Assist in monitoring the day-to-day operations of the marine fleet, including vessel movements, scheduling, and crew management.
* Send weekly and monthly operation reports to client(s).
* Assist in the preparation of reports, presentations, and other documentation related to site operations and projects.
* Upload and follow up vessel certificates for our local marine units and spot fleets on Crew Inspector.
* Stay updated with relevant industry trends, regulations, and best practices, and suggest improvements or enhancements to existing processes or procedures.
* Responsible for Vodafone monthly invoices and tracking reports.
IT Support:
* Full responsibility for setting up all company's laptops with new windows updates, and reporting IT issues to the Regional IT Manager.
Tender Preparations:
* Responsible for all tenders' document preparations.
Who we are looking for:
Qualifications:
Educational:
* Bachelor's degree in business management or any relevant field (e.g., Marine, Engineering, Project Management).
Work Experience:
* 1 year of experience in an operations department position or similar.
* Familiarity with marine standards, regulations, and procedures is a plus.
* Experience in marine operations or related fields is highly desirable.
Skills & Competencies:
* Excellent command of the English language.
* Excellent computer skills (MS Office).
* Able to work independently.
* Good grooming and presentation skills.
* Strong organizational and multitasking skills, with the ability to prioritize tasks in a dynamic
