Executive Secretary
Executive Assistant maintains an efficient and effective Executive Office via
the distribution of internal and external mail, independent correspondence and
up-to-date registry system. Specifically, will perform the following tasks to
the highest standards:
* Compile and submit management reports in a timelymanner
* Attend and record minutes ofmeetings
* Ensure communication meetings are conducted and post-meeting minutes generated/followedup
* Monitor administration standards to ensure adherence with corporateguidelines
* Responsible for the effective translation and prompt circulation of government documents to ensure stipulations arecomplied
* Coordinate special reservation requests made through the ExecutiveOffice
* Manage guest queries in a timely and efficientmanner
* Evaluate guest satisfaction levels with a focus on continuousimprovement
* Ensure compliance of brandstandards
* Comply with hotel security, fire regulations and all health and safetylegislation
* Support in organizing tasks related to Hotel & Brand requirement as per thedeadline.
* Coordinate with HOD to get accurate data & information as asked by GeneralManager.
* Follow up & coordinate with HODs for all needed reports : Attendance , Vacation , Operation departments report exc .
* Support in Audits - QA , HACCP , DTCM , Civil Defenseetc.
* Supports when needed Marketing Department and PRfunctions
* Assist other departments wherever necessary and maintain good workingrelationships
* Complete other duties as assigned by GeneralManager
In addition to performance of the essential functions, this position may be
required to perform a combination of the following supportive functions, with
the percentage of time performing each function to be solely determined by the
supervisor based upon the particular requirements of the company:
* Attend mandatory meetings including divisional meetings, department meetings, staffmeetings, etc.
* Participate in community public relations for the restaurant and thehotel.
* Utilize traditional software programs such as Word, Excel, Publisher, PowerPoint and/orOutlook Express
* Perform other duties and responsibilities as assigned orrequired.
