Country Management Unit Context:
The World Bank 's GCC Country Department is the principal liaison between the
World Bank and the six countries of the Gulf Cooperation Council (GCC), namely
Bahrain, Kuwait, Oman, Qatar, Saudi Arabia, and the United Arab Emirates. The
GCC Country Department facilitates the provision of Reimbursable Advisory
Services (RAS) from the Bank to the GCC countries and GCC affiliated
institutions. The GCC Country Department is managed through four offices: a
Regional Office in Riyadh, KSA headed by the Country Director (CD); a Country
Office in Kuwait (headed by Resident Representative), a Country Office in Abu
Dhabi UAE (headed by Resident Representative) and an HQ unit in the World Bank
HQ in Washington, D.C.
The World Bank provides Saudi Arabia and GCC countries with advisory services
on a reimbursable basis through an agreed Country Program. This relationship
is a long-standing development partnership dating back to the early 1970s. As
part of this partnership, the World Bank has contributed its global knowledge
and international experience to support GCC countries' development plans.

Roles & Responsibilities:
The Program Assistant reports to the Program Manager in Riyadh and is expected
to primarily focus on GCC Operational tasks and also support CO functions.
S/he will be a key member of a growing Country Office (CO) that includes
resident staff mapped to Global Practices (GPs), as well as staff working on
RAS program, resource management, IT, external affairs, and administration in
Riyadh. S/he will also be part of the GCC Operations Team (OT) that supports
operational work in GCC countries. Specific duties and accountabilities
include the following:
*
Provide assistance at various levels in organizing meetings, conference calls,
video conferences, workshops, conferences, including handling administrative
and logistic arrangements, preparing and assembling meeting materials, sending
out invitations, and follow-up.
* Prepare, review, edit and format project documentation according to Bank and Regional guidelines, as well as maintain a coherent filing system ensuring that all projects documents are properly filed and referenced.
* Participate in developing project/product timelines, using appropriate software.
* Provide Resource Management (RM) support for GCC countries with guidance from the RM Analyst.
* Respond and handle a wide-range of extensive and diverse inquiries, prioritizing and making decisions when multiple courses of action are possible and prepare correspondence on a range of topics
* Provide administrative support, organize and manage meeting schedules for task teams (and visiting missions before and while they are in country).
* manage internal and external inquiries related to the status of projects in the absence of task team leader and team members.
* Maintain current distribution lists, phone/address lists of project/product contacts, and distributes documents for the team.
* Extract, monitor and report on disbursement data for active projects.
* Translate short documents from English/Arabic and Arabic/English relevant to the work of the team, such as reports, memos, articles, etc.
* Organize and maintain filing system in appropriate filing setup.
* Process all travel requests for relevant consultants working in the CMU.
* Draft routine correspondence and proofread materials using proper grammar, punctuation and style.
* Record, disseminate and track all correspondences and minutes of meetings.
* Coordinate schedules taking priorities into account, monitors changes, and communicate the information to appropriate staff inside and outside the immediate work unit, including officials outside the Bank Group.
* Undertake ad hoc inquiries, investigate standard and non-standard databases, identify and research various sources of information, retrieve, manipulate and present data.
* Undertake CO-support duties as assigned by the Program Manager.
* Undertake ad-hoc assignments and provide support to other staff in the unit as required.
Selection Criteria
Education/Experience
Minimum Education/Experience: High school diploma with 5 years of experience,
or equivalent combination of education and experience. Bachelor 's degree
preferred.
