What you'll be doing
The job holder of this position is responsible for high-level administrative
support by conducting research, preparing reports and presentations, handling
information requests, and performing clerical functions such as preparing
correspondence, receiving visitors, arranging conference calls, and scheduling
meetings.
The job holder is also responsible of supporting the Corporate Initiatives
team in the efficient running of key project and initiatives: coordination of
a project, in addition to precise reporting of the project progress vs the
target handover, and the quality of the execution.
Notably actively supporting and leading specific streams of work under the
Alumni Community initiative.
What you 'll need to succeed
Project-based
* Review selected documents that come to the Office of the Manager and make recommendations for actions and next steps
* Liaise with relevant individuals, departments, and external customers and suppliers on Manager's behalf and ensure smooth and efficient communication flow
* Assist in presentations and other reports and documents as needed
* Manage in coordination relevant stakeholders based on project needs
* Proactive liaison with clients and clients business partners with regard to the project
* Proactive liaison with project team members and with other divisions whenever required
* Assist in planning and organising any relevant meetings, sessions, workshops
* Create and maintain database and spreadsheet files
* Follow-up on progress of directives and projects managed by the Manager
* Conduct research and prepare relevant reports according to guidelines and project requirements
* Produce status summaries of verified project as per a specific calendar (follow up approval cycles, and report delays; material deliveries; gather information for project cost estimation; prepare quotations per project and relevant elements)
Office-based
* Handle management of necessary tools and tech requirements for the smooth and efficient running of projects
* Arrange and coordinate events etc. when required
* Handle all digital archiving of documents, records, and reports
* Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work
* Assist team in all office needs
