Job Purpose: Support the Operations Research & Effectiveness (OR&E;) team
in implementing consistent best practice and enable timely delivery of the
project portfolio. Through strong adherence to project governance principles,
the Project Coordinator collates, analyses the teams project and resource
performance as well as ensuring consistency with toolkits and templates. This
role is accountable for ensuring that the ORE?s Knowledge Management portal is
maintained, and carries out administrative tasks that facilitate the smooth
functioning of Job Outline: - Act as the administrator of the ORE project
portfolio tool. - Generate necessary and timely reports on the execution of
the department project portfolio including resource capacity utilisation. -
Manage the project feedback survey and the project of the quarter reporting. -
Coordinate and follow-up with ORE portfolio leads on feedback from the project
feedback surveys and the adherence to the department?s project portfolio
standards and processes. - Provide feedback to the department head and the
portfolio leads on trends and corrective actions to facilitate effective
utilisation of resources and timely and effective delivery of projects. -
Support the regular update of the department?s templates and internal
Knowledge Management portal, and assist in piloting and deploying them to the
relevant teams. - Maintain ORE team calendar and logistics (e.g. room
bookings) for team events and meetings. - Facilitate the smooth induction of
new staff members and ensure they have a baseline knowledge of toolkits,
templates and the knowledge management portal. - Manage departmental
administrative tasks that facilitate the smooth running of the department and
others as assigned by the Departmental Head (e.g. management and re-ordering
of supplies).
Qualifications & Experience: Human Resources.Performance Management : 12
Years schooling or equivalent : - Minimum of 4 years of demonstrated
experience with coordinating and facilitating administrative activities
Demonstrated experience with stakeholder management. Knowledge/skills: -
Knowledge of project management practices is preferred. - Excellent
communication skills in both written and spoken English and good negotiating
and persuasive abilities and ability to interact with all levels in the
organization. - Strong computer literacy skills.
