Key Job Responsibilities
Administration
* Assist in maintaining the HR database and all employee records and files for assigned region.
* Monitor probationary periods for new employees, liaise with appropriate Line Manager and issue letters
* Complete assigned reporting functions involving a variety of HR statistics and other information assigned.
* Administer the Rewards Program which includes receiving, tracking and importing points weekly.
* Perform general office support functions and assist regional departments as necessary.
* Prepare and distribute local letters as required
* Ad-hoc projects as required by the HR Manager or Group HR Director
* Monitor employment document expiry dates.
* Communicate with employees on the timely renewal of their passports.
* Liaise and follow-up with Sponsor & Typing Centre on the timely renewal of employment visas and work permits.
* Coordinate visa renewal process with concerned employees.
* Process labour & visa applications for new joiners
* Coordinate labour & visa application process with concerned parties

Recruitment and Onboarding

* Process and review employment applications in order to evaluate qualifications or eligibility of applicants and refer screened candidates to the HR Manager.
* Coordinate and organize interview schedules with shortlisted candidates.
* Verify prior employment, contact candidate references, and communicate with applicants/candidates of their application acceptance or rejection.
* Prepare Induction Kits, schedule Induction Plans and open/activate Employee Files of new joiners.
* Manage and maintain an up-to-date recruitment log though the HR system.

Customer Service

* Answer incoming phone calls and attempt to provide support or direct calls to appropriate department member.
* Assume responsibility for establishing and maintaining effective communication, coordination, and working relations with all team members.
* Display a sense of urgency and strive to exceed the expectations and needs of internal and external customers.
* Act as a liaison for communication between team members and the department.
* Point of contact for new employees regarding HR policies and programs as needed.

Regional Support

* Provide regional assistance with the new hire process to include, but not limited to pre-employment monitoring, new hire onboarding, staffing reports and part-time hiring.
* Answer general time and attendance questions.
* Provide first line HR generalist advice and guidance to both employees and managers, seeking solutions where necessary
* Provide regional training support.
* Support other functions in assigned region as necessary.

Experience


Preferred
* ‎2 - ‎3 years: Experience in recruitment and screening candidate profiles
* ‎2 - ‎3 years: Experience in labour & visa application processing
* ‎2 - ‎3 years: Experience in Human Resource Administration
