Kennedys is looking for a Receptionist to join our team in Dubai. The
Receptionist is Kennedys' front of house executive who, under the direction of
the Office Manager, has responsibility for maximizing the effectiveness and
efficiency of the reception function in a manner that supports the Firm's
provision of quality services to its clients.
The primary duties of the Receptionist are to work with the Office Manager to
advance the objectives of the business services team and to assist the
Secretarial team to provide comprehensive and pro-active secretarial services
to the fee earners.
Key Responsibilities
* Providing reception support to the Dubai office
* Answering and managing the switchboard
* Maintaining the conference room booking schedule for two conference rooms
* Ensuring conference rooms are tidy and stocked with refreshments, crockery and stationery at all times
* Setting up refreshments for meetings with the assistance of the office assistant. Arranging lunches for meetings when requested.
* Arranging video and telephone conferencing including setting up of video conferencing equipment.
* Booking local and international couriers
* Making appointments, arranging meetings and reservations for members of the team as requested
* Assisting with flight and hotel bookings
* Extensive file management and general administration
* Maintain InterAction contact database
* Participates in the Video Conferencing (VC) Advocate Programme to support the Dubai and Muscat offices
* Miscellaneous duties that may from time to time be required

The Receptionist reports to the Office Manager and will be subject to varying
degrees of supervision on a day to day basis. The Office Manager is part of
the Business Services Team and reports to the Managing Partner.
The Receptionist creates and maintains professional relationships with fee
earners, the administration team, business services, building management,
vendors and suppliers. The Receptionist works professionally and courteously
with clients to grow client relationships.

* Previous experience in a professional working environment
* Arabic and English speaker
* Welcoming and presentable as the first point of contact for the firm
* Committed and enthusiastic
* Ability to work on own initiative or
* Proactive and flexible approach
* Strong communication and organisational skills
* Good level of IT literacy
* Willingness, reliability, attention to detail
* Ability to prioritise a workload
* Previous experience in a law firm is advantageous
