Description
To provide a comprehensive and flexible administration service for the
Commercial & Industrial (C&I) team in the GCC region. Assist with Asset Based
Marketing and follow up for the Commercial & Industrial (C&I) team in the EMEA
region. Support the sales team with prospecting activities and monitoring
intelligence platforms to generate leads. The maintenance of strict client
confidentiality is essential.
Key Responsibilities:
Works flexibly as a member of the team in the office to deliver the following:
* Administrative Support
* Prospecting
* Asset Based Marketing and follow up
* Assist with the organization of industry events
Administrative Support
* Provide administrative assistance to the team in the UAE and broader C &I Team, when required.
* Complete letters, reports, presentations, invoices and related documentation with accuracy and speed using the appropriate IT package for the job, Word, Excel, PowerPoint.
* Proof reading and correcting spelling, grammar, and formatting of reports before submission to clients. Cross checking facts and figures in various reports and appendices to ensure correct and consistent presentation of the report.
* Maintain file records databases and archive material (hard copy and electronic) in efficient order. Ensure all information is stored securely but available to relevant members of staff.
* Raising and sending out asset invoices / fee invoices / opening cases on NetSuite / liaising with Finance in respect of realisation paperwork.
* Assisting with Auctions by monitoring cash receipts into our bank accounts / liaising with staff and porters on site / dealing with buyer's invoicing queries such as invoice amendments / telephone calls coming into London switchboard.
* Assist in chasing overdue invoices and monitoring for their receipt.
* Assist in completion of post-sale documentation when assets are sold and follow up to completion and transfer of ownership.
* Use email effectively to support the team in delivery of business objectives.
* Maintain work and engagement records through excel databases and Salesforce.
* Processes initial NDA requests and associated documents through company systems.
* Answers the telephone professionally and ensures messages are passed on with accuracy and speed.
* Make domestic and international travel arrangements including all air, hotel and car reservations and identifying the most appropriate, cost-effective, and convenient logistics. Prepare itineraries and expense reports.
* Coordinate internal and external meetings, along with the production of meeting agendas and supporting materials, as necessary.
* Cover for other members of the Administration team during annual vacation etc.
* Assist in ad-hoc projects as required.
* Build knowledge and regulatory knowledge on jurisdictions of operation.
* Develop and document processes and procedures around asset based. transactions within the regulations of the jurisdictions of operation.
Prospecting / Lead Generation
* Assist in supporting the C &I Team by generating leads.
* Use linked-in to identify potential prospects in key markets and sectors.
* Calling of new potential prospects.
* Participate in Trade Shows in the region.
* Enter qualified leads in Salesforce.
* Use of industry Focused Intelligence Platforms for prospecting and lead generation.
Asset Based Marketing
* Coordinate Marketing Activities for promotion of industrial assets and machinery.
* Assist the EMEA team, with advertising and marketing promotions and make use of social media to actively promote projects.
* Call Campaign for promotion of Assets for sale in emerging markets to targeted audiences.
* Coordinate with Marketing Team to produce impactful marketing materials.
* Execute the marketing campaigns plan for the promotion of Assets.
* Manage the budget per project.
* Monitor the performance of campaigns and adapt plan to optimise customer engagement.
* Stay up to date with best marketing and advertising practices.
* Continuously identify best suited 3rd partly media vendors for the promotion of different categories of specialized assets to create best routes to market.
* Negotiate costs with service providers.
Assist with the organization of industry events.
* Assist with organization of Gordon Brothers promotional events, conferences and trade shows.
* Key relationship with all suppliers of services.
Knowledge, Skills & Abilities:
* Knowledge of Microsoft office package as an advanced user of all applications

* Touch typing skills would be a plus.
Education & Experience:
* 3-5 years of relevant experience within financial or professional services organization.
* Experience of performing successfully under pressure and in a fast-paced environment
