voco Dubai Palm The Palm is conveniently located on the trunk of the manmade
island while being part of the newly launched "Palm West Beach", a trendy and
vibrant spot with an array of exceptional dining concepts.
As an Executive Administrative Assistant, you will be in charge of providing
comprehensive support to the General Manager and equally support the Food &
Beverage and Sales & Marketing departments in administrative responsibilities.
Executive Office Responsibilities:
* Provide extensive support to the General Manager that includes business and travel arrangements, electronic diary management, independently managing corporate correspondence, minutes of meetings, coordination within the hotel departments, making reports and presentations.
* Exercise considerable initiative and high degree of social skills dealing with full range of stakeholders in many varying situations representing the organizations high profile situations.
* Perform a variety of confidential supporting tasks.
* Coordinate office management activities.
* Research, compile, assimilate, and prepare confidential documents
* Read and screen incoming correspondence and reports; make preliminary assessment of the importance of materials and organize documents.
* Receive and screen incoming calls and visitors, determine which are priority matters and alert the executive accordingly.
* Plan and coordinate arrangements for professional conferences/ meetings
* Coordinate and facilitate the General Manager's calendar to arrange appointments, meetings, and conferences
Administrative Responsibilities:
* Fully support the Food & Beverage and Sales & Marketing departments in all administrative requirements
* In charge of the Meetings & Events in the hotel (Sales & Administrative duties)
* Communicate effectively with guests, subordinates, immediate superiors, and other section heads.
* Attend daily briefings, meeting and all other training sessions and meetings required for the position
* Administer personnel action on leaves, overtime requests, disciplinary actions, and commendation.
* Handle the procurement requirements of the departments.
* Maintain all colleagues' files in the departments which includes training trackers, forms and other documentations.
* Identify and solve problems in service in a professional manner.
* Perform other duties as assigned by designated Heads of Departments.
What we need from you
* ‎5 years related experience including at least ‎2 years in same capacity
* Excellent interpersonal and communication skills, including the ability to communicate confidently, effectively, and diplomatically.
* Excellent organizational skills, including the ability to manage busy schedules, establish office systems, and the ability to work accurately and to high standards under pressure to meet deadlines.
* Strong ability and initiative to work in a dynamic, high-profile environment.
* A naturally outgoing and friendly personality with a passion for service excellence to consistently deliver and demonstrate voco™ service standards
* A true "team-player" mentality and flexible attitude towards a diverse set of tasks
