Personal Assistant to General Manager
A Personal Assistant to the General Manager maintains an efficient and
effective Executive Office via the distribution of internal and external mail,
independent correspondence and up-to-date registry system.
What will I be doing?
A Personal Assistant to the General Manager maintains an efficient and
effective Executive Office via the distribution of internal and external mail,
independent correspondence and up-to-date registry system. Specifically, a
Personal Assistant to the General Manager will perform the following tasks to
the highest standards:
* Administrative Support:
Provide high-level administrative support to the General Manager, including
managing the calendar, coordinating meetings, and handling correspondence.
* Guest Inquiries:
Respond promptly and professionally to guest inquiries received via various
platforms, including TripAdvisor, Booking.com etc. and other online travel
agencies. Address guest concerns and provide assistance as needed.
* Communication:
Maintain effective communication between the General Manager, hotel Team
Members, and external stakeholders. Relay important information and ensure the
GM is well-informed on daily operations and guest feedback.
* Scheduling and Planning:
Assist in planning and organizing hotel events, meetings, and special
projects. This may include creating itineraries, arranging accommodations, and
coordinating with other departments.
* Document Management:
Prepare, review, and maintain reports, presentations, and documents as
requested by the General Manager.
* Data Analysis:
Analyze data from guest inquiries and reviews to identify areas for
improvement in service and hotel operations. Collaborate with relevant
departments to implement necessary changes.
* Confidentiality:
Handle sensitive information with the utmost discretion, maintaining the
highest level of confidentiality.
* Guest Relations:
Foster positive guest relations by addressing concerns, providing information,
and ensuring a high level of customer satisfaction.
* Coordination:
Collaborate with department heads to ensure smooth day-to-day operations and
address any issues that may arise.
* Other Duties:
Perform other duties as assigned by the General Manager to support the
efficient operation of the hotel.
What are we looking for?
Personal Assistants to the General Manager serving Hilton brands are always
working on behalf of our Guests and working with other Team Members. To
successfully fill this role, you should maintain the attitude, behaviours,
skills, and values that follow:
* Minimum ‎5 years relevant experience (preferably in a medium to large size hotel); ‎3 of which must be in a similar capacity
* Good understanding of hotel operations, practices and procedures
* Exceptional written and verbal communication in English
* Proficient with MS Word, Excel, PowerPoint and Outlook and office equipment
* Proficiency in using various communication platforms and tools
* Strong communication and human-relation skills
It would be advantageous in this position for you to demonstrate the following
capabilities and distinctions:
* Degree in Business Administration or equivalent preferred but not required. Additional relevant work experience may substitute for degree
* Certification: Certification in Secretarial/Administration skills
