Job Description


As an Office Manager, responsible for the efficient and smooth operation of
the office environment, oversee various administrative
and operational
tasks, ensuring that the office functions effectively
and supports the
overall goals of the organization. This role requires excellent organizational
and communication skills, as well as the
ability to multitask and
prioritize responsibilities. In addition to p
reparing and coordinating
legal draft documents, legal revision and ensure the efficient and effective
administration of the office
.
* Maintain office services and supervise administrative staff to ensure efficient operations.
* Coordinate and monitor office activities, including maintenance, supplies, equipment, and vendor relationships.
* Manage office budgets and expenses, ensuring cost-effective utilization of resources.
* Maintain a safe and secure working environment, addressing health and safety concerns as necessary.
* Provide administrative support to executives and team members, including calendar management, travel arrangements, and expense reporting.
* Manage correspondence, including emails, letters, and phone calls, and handle inquiries and requests effectively.
* Prepare and distribute internal communications, such as memos, announcements, and reports.
* Maintain accurate records and documentation, both physical and electronic, ensuring confidentiality and data protection.
* Coordinate new employee onboarding, including orientation, paperwork, and setting up workstations.
* Maintain employee records, including attendance, leave management, and overtime.
* Manage supplies inventory, including ordering and verifying receipt of supplies.
* Make travel arrangements, such as booking flights, cars, hotels, and restaurant reservations.
* Create spreadsheets, manage databases, and prepare presentations, reports, and documents.
* Manage office space allocation, including seating arrangements and office layout.
* Oversee facilities maintenance, including repairs, renovations, and equipment maintenance.
* Ensure proper functioning of office equipment, such as computers, printers, and telecommunication systems.
* Collaborate closely with the HR department on various activities.
* Develop and maintain a filing system and databases, whether electronic or paper.
* Manage stationery supply, negotiate with vendors, and manage stockrooms.
* Work with the marketing department in arranging company events.
* Prepare The General Assembly and Board Meeting document and agenda, under the CEO's supervision
* In coordination with Giza Systems Legal department.
* Prepare legal documents such as Partnership, Contract and consultancy Agreement.
* Perform any legal revision for any company activates documentation.
* Drafting all company's contracts and agreements
* Take legal consultation when necessary from the Group's Legal Office
* Ability to review and draft legal contracts, agreements, and other legal documents.

  • Experience as an Office Manager or in a similar administrative role.

  • Proficiency in office management software and tools, including MS Office (Word, Excel, PowerPoint) and office collaboration platforms.

  • Familiarity with legal terminology, procedures, and documentation.


Education


Bachelor's degree in legal is preferred or Business Administration
