Overview
JOB PURPOSE
Ensure that plant operation is secured through ensuring spare parts
availability to implement all needed corrective and preventive maintenance
tasks, in parallel with maintaining and controlling Spare Parts Store
processes and activities with complete reporting for all transactions, while
monitoring, controlling and Maintaining spare parts inventory value with total
quantity of transactions on daily basis and reconciliation with Monthly basis
for 5000$ and above and quarterly 100% inventory check. Communicate with
suppliers including OEMs and Entech services and connect with GP team to
harmonize the ordering process and follow each stage. Prepare and submit
financial status of the store while getting the support from Finance team.
Responsibilities
* The overall responsibility and management of Quality, Costs, Service and People of Spare Parts Store operation and functionality.
* Implementing all processes and procedures related to the store.
* Daily posting of all store transaction in SAP and/or other systems.
* Identify material to be ordered/purchased based on the pre-determined re-order levels. Tracking of all stored operating supplies/ materials and prepare regular reports.
* Daily contact with Direct Manager/peers
* Decision making on parts ordering based on re-order level and the Direct Manager guidance.
* Receive ordered materials receiving physically against the Purchase order & confirm, organize and label parts and other stored items, and issue them upon request (as per the procedures).
* Preparing P.R /P. O and Goods receipt and any other required transactions and documents.
* Daily, monthly and yearly inventory process execution.
* Highlight the maintenance Dept. expenses to the Direct Manager in regular interval.
* Maintain and implement EHS and QFS standards, policies and procedures within the area of responsibility. Ensure all requirements of the EHS policies procedures are adhere too.
* Ensure all requirements of the food safety policies procedures are adhering too.
* Knowledge on MyBuy system operations, communicate with vendors, suppliers, OEM's and 3PMRO service-providers, as well as with local GP and myBUY teams to harmonize the ordering process and follow each stage.
* Maintain and implement AIB standards.
* Identify opportunities, support initiatives and encourage his team to improve production processes in conjunction with production personnel to improve quality, productivity, enhance safety or drive down costs.
* Daily reporting of all shift activities.
* Ensure all requirements of the safety policies are adhering too. To implement, sustain and participate in the continual improvement of the EHS Management System (MS) at area of responsibility in accordance to the legislations, PepsiCo GEHSMS and relevant EHS & Electrical standards, ensuring proper controls for all hazards and risks associated with all activities/areas are in place and EHS targets are achieved.
* Local & External spare parts/services contract management & controls on spares inventory
* Supervise, review and execute of PEMM (PepsiCo Maintenance Methodology) improvement plan for the year, ensuring all key actions of MIAP are cascaded down into the Engineering Support team's objectives.
* Have strong interpersonal & leadership skills, collaboration with key stakeholders to ensure information is cascaded effectively.
* Drive "Live" plant issues through the systems and through the team.
* Attend the Maintenance forum meetings to share Maintenance Best Practice, Challenges and achievements.
* Achieve and maintain the Line availability (Technical Efficiency) & Equipment readiness all the time through eliminating the impact of spare parts unavailability.
* Monitor stocks levels. Identify material to be ordered/purchased based on pre-determined Re-Order Levels (ROL's).
* Create Purchase Requests PR's, Purchase Orders PO's, Goods Receiving Notes (GRN's) and any other required transaction and document.
* Daily posting of all store transaction in SAP and/or other systems.
* Creating codes for new items in coordination with Maintenance Manager and Master Data team.
* Identifying obsolete and aging items (non and slow moving) and take necessary actions aligning with Maintenance Manager and Finance team.
* Ensuring the strict implementation of COSO/SOX requirements.
* Maintain accurate SAP-PM records and updates for all issued spare parts and created PR's to be against Work Orders (WO's).
* Identify opportunities and support initiatives in spare parts sourcing, localization and reconditioning, to improve production processes, quality, productivity, enhance safety or drive down costs.
* Ensure that spending is in line with the department R&M budget and direct manager directions.
* Track, report and highlight Repair and Maintenance (R&M) expenses to the Direct Manager in regular interval.
* Coordinate with OEM engineers and representatives on related spare part inquiries, PR's/PO's, Shipping and delivery, GRN's and invoice submission.
* Leading the monthly, quarterly and yearly inventory process execution checks. Generate Spare Part inventory and process reports, analyse gaps and opportunities, develop and implement related action plans.
* Review and update Spare Part Store Process Controls, Narratives, Procedures and Policies as per assigned frequencies.
* Support the execution of the site Maintenance and Reliability M&R Strategy related to Spare Parts and SP Store to and achieve World Class maintenance status.
* Through the Reliability Engineer, Support Maintenance KPI's and ensure there are plans in place to deliver the required targets on all of these measures.
* Support executing Continuous Improvement CI initiatives and Failure Analysis techniques (e.g. Root Cause Analysis RCA) whenever needed and related to spare parts.
Qualifications
Knowledge / Skill
* Sc. or Diploma in Engineering, IT, or other relevant field
* Have good knowledge in ERP software experience (i.e., SAP) in store inventory and stock management.
* Asset Utilization (Understands the relation Maintenance and availability)
* Have engineering and technical knowledge
* Can read and understand industrial part descriptions, specifications and applications.
* Have Quality and Food Safety QFS systems and policies knowledge.
* Environment, Health and Safety EHS systems and policies knowledge
* Can draw up strong Technical-writing and reporting skills, developing/mapping proper data analysis.
* Computer literate with knowledge of MS Office
* Has good command of English language writing / communication skills
* Skill of coordinating with suppliers local and foreign.
Experience
* Experience in store, warehouse, inventory and stock management.
* Experience in Spare Part Store management is highly preferred.

* Capable of organizing spare part store racks and maintaining safety stock through applying ROL (Re-Order Level) tool.
