Project administration is a varied coordination and support role which
encompasses a wide range of tasks.
Key responsibilities include, but not limited to:
* reception duties including, answering the phone, welcoming visitors
* ordering of office supplies
* printing of documents including reports and tenders
* attending client, and internal, meetings and taking meeting minutes for distribution
* travel logistics, including flights, hire cars, accommodation, visas and site passes
* timesheet completion for remote staff
* sourcing and obtaining quotations from suppliers
* arranging equipment calibration
* raising of purchase orders
* QA/QC review of documents including reports
* document support as required by project team, such as formatting to client templates/styles
* raising of invoices, collation of invoice backup, invoice preparation and submission, and debt collection
* vendor database management and controls
* international shipping logistics
* carbon and CSR reporting
* social media content creation (to feed to the marketing team)
* completion and maintenance of registrations, supplier questionnaires and client portals
* preparation of marketing/proposal support information, including CVs, project photograph library and project descriptions/case studies
* office and project SHEQ reporting and tracking
* regular problem solving
Person specification:
* Educated to degree level
* Over one year 's experience of working in a similar projects' administrative role and the ability to demonstrate a good understanding of what the role requires is advantageous
* High level of skill in written English, particularly spelling, grammar and punctuation
* Excellent verbal communication skills
* Competent user of all Microsoft packages (Word, Outlook, Teams, Excel and PowerPoint)
* Attention to detail and the ability to maintain high levels of accuracy
* Excellent organisational skills and the ability to manage a large volume of information/documents
* Ability to work to tight deadlines
* Ability to use their own initiative and problem solve
* Friendly and approachable, with a willingness to learn
* Ability to work with a variety of people at all levels of the business, inside and outside of the immediate team.
