Job Description:
Hilco Redevelopment Partners ("HRP") is seeking an enterprising and
enthusiastic office manager/project coordinator. We are looking for a highly
organized, detail-oriented, reliable, and proactive individual to work in a
dynamic and fun environment with a team of creative commercial real estate and
corporate affairs professionals. This role involves a wide variety of
administrative duties and organizational tasks to facilitate the team's
development project management function and is a good opportunity to learn
about real estate development. Primary responsibilities include: managing
schedules, supporting the planning/execution of virtual and in-person
community events, ordering office supplies/provisions and ensuring proper
office functioning, coordinating IT requests, printing, and deliveries,
processing documents and managing project files, making travel arrangements,
planning team outings/events, and creating expense reports. Additional
responsibilities may include: creating/editing presentations, performing
general research, tracking project and team metrics, invoice and contract
tracking and administration, and other support tasks as needed.


The candidate should have a minimum of one years' experience in administrative
or managerial work.
General Responsibilities
* Provide administrative support for the Executive Vice President, Corporate Affairs and the Alexandria Mixed-Use Development team
* Manage team members' calendars
* Schedule in-person and virtual meetings and conference calls, and organize catering
* Maintain appearance of common areas, organize and coordinate general office operations and procedures
* Ensure uninterrupted office functioning, order supplies/provisions, manage equipment maintenance and vendor coordination
* Perform a variety of daily tasks using various software, including word processing, spreadsheets, databases, and presentation software
* Support/coordinate virtual and in-person community events
* Coordinate e-blasts with development and communications teams
* Log detailed meeting minutes in both internal and external meetings, consolidating key insights and clearly communicating next steps
* Make travel arrangements/reservations and coordinate team outings/events
* Create expense reports
* Create and edit presentations, memos, reports and graphics
* Track project and team metrics and perform research as needed
* Coordinate IT requests, printing, deliveries and mailing/shipping
* Answer vendor and other inquiries/correspondence and route to correct team member
* Manage project files, including corporate records, documents, and reports
* Manage new hire logistics in coordination with IT and other departments
* Manage any workstation or other furniture changes
* Invoice and contract tracking/administration
* Troubleshoot administrative issues as they arise
* Handle sensitive information in a confidential manner
* Represent HRP in a professional and courteous manner
Skills/Qualifications
* Diligent, organized, detail-oriented, reliable, energetic, proactive, determined and eager to learn
* Self-starter, fast learner who can contribute immediately in a high-volume environment
* Knowledgeable of typical office functions
* Ability to juggle competing demands while prioritizing time-sensitive projects
* Positive attitude with excellent customer service, telephone and computer skills
* Proficient in MS Office, including Word, Excel, Outlook, Teams and Adobe Acrobat
* Expertise in PowerPoint, with ability to create professional-looking presentations
* Knowledge of BlueBeam, Yardi, or Adobe Creative Suite a plus, but not required
* Ability to navigate within accounting systems to find/forward/save invoices
Requirements
* Associate's Degree
* Minimum of one year proven administrative experience
