Role Purpose:
The role of the Supervisor - Inventory Control is to ensure the inventory
database is accurately maintained and stock takes are completed according to
the established policy. To ensure optimization of inventory whilst
implementing cost control measures in line with the agreed standards.
Minimizing the wastage and variance and controlling the cost are the primary
KPIs for this role. Responsible for the inventory management of products &
other consumables for single or multiple MAF Entertainment sites; this
includes warehousing, inventory control & distribution.


Role Details - Key Responsibilities and Accountabilities:
Stocktaking
* To oversee the MAF Entertainment site's inventory to ensure seamless and reliable operations.
* Ensure optimization of inventory, whilst implementing cost control measures, in line with the agreed standards, with no disruption to the operations and customer experience.
* Investigate and validate physical stock-take variance and report it to the Line Manager and F&B Inventory Control Manager, citing reasons and action taken.
* Review major stock discrepancies.
* Conducts stock-take meetings to review stock-take results.
* Monitors and carries out stock checks with the necessary controls.
* Ensures the completion of daily stock control.
* Ensures checking, verification, and receipt of delivered stock.
* Creates a stock inventory on a weekly and monthly basis and reports any discrepancies.
Inventory
* Observe the correct buying and receiving protocols.
* Monitor day-to-day tasks related to Inventory transactions.
* Ensure all inventory and stock management systems are maintained accurately within the agreed inventory parameters and in a timely manner.
* Counts, sorts and checks in incoming stocks; verifies against requisitions, purchase orders, shipping notices or invoices; places stock in storeroom.
* Conducts physical inventories ensuring that counts are accurate and performed accordance with schedule and policy.
* Implements systems & procedures for receipt, storage, inventory control and issue of all items.
* Ensures accurate recording of all materials received, including checking for shortages, damages/discrepancies, etc.
* Places tags, markers or labels on shelves to identify stock.
* Gathers requisitioned supplies, merchandise or materials and prepares for delivery or pick-up.
* Packs and ships packages according to instructions using boxes, packing materials and sealing tape.
* Ensures prompt & accurate delivery of stocks to the different stores based on scheduled/special requisitions.
* Prepares stores transfers from central warehouse to stores on weekly basis or as needed.
* Negotiates & ensures that most economical & efficient means of transportation are used for delivery of stocks.
* Maintains up-to-date records of stock movements/inventory including re-order levels.
* Initiates timely action for stock replenishment to ensure no stock-outs.
* Prepares necessary documents required for shipping material to outstation locations.
* Coordinates/follows-up with the suppliers for items ordered, in order to ensure receipt of stocks on time.
* Prepares regular reports for material received, in stock, deliveries made, goods in transit, slow moving stock, damages/shortages, etc. and submits to the management.
* Ensure that there is proper protection & safety of stocks including insurance cover.
* Raises insurance claims as required.
* Perform various self-audits.
* Creates and processes orders and transactions in inventory control systems as required.
* Create PRs/POs as required.
* Actively report incidents and stop any work activity if they feel their personal safety is at risk at any time
Cost Control
* Maintain the COGS within the budget set by the business and minimize wastage, variance and stock adjustment.
* Oversee cost and profit margin per item.
* Checking recipe cost and margin before adding into system
* Analyze the wastage and stock adjustments and suggest actions to minimize them.
* Coordinate with Finance department to ensure that payments for goods and services are processed timely and in accordance with all the company's policies and procedures.
* Conduct store audits and spot checks on weekly basis.
* Plans & executes proper layout for the store space in order to ensure maximum space utilization and smooth movement of stocks.
Reporting
* Prepare sales and cost analysis by item for review to F&B Inventory Control Manager.
* Provide a summary of every stock taken across sites and an action plan to reduce the wastage and variance.
* Maintain purchasing documentation and signed contracts.
* Maintain the records of any price change in order to analyze price variation.
* Prepare and send consolidated price change report to F&B Inventory Control Manager.
* COGS report and calculation, P&L analysis of F&B concepts, notify and be more vigilant on items underperforming / track best sellers.
HSE
* Ensures HSE policies and procedure are being adhered to.
* Abides by policies & procedures listed in MAF Entertainment HSE management programs to ensure a safe environment for guest, colleagues, and self.
* Operates and maintains according to the Standard Operating Procedures (SOPs') and Risk Assessments.
* Owns health, safety and wellbeing and anyone or anything that may be affected by acts or errors
* Reports incidents and stop any work activity if their personal safety is at risk at any time.
* Identifies equipment deficiencies for assets and reports any issues to the Manager on duty and/or the relevant Technician.
* Ensures disclaimers are signed by customers when applicable.
* Abides to child safeguarding policies and procedures.
Definition of Success
* Monitor and maintain inventory values, validate PAR stock levels and minimize waste and variance.
* Maintain the COGS within the standards set by the business.
* Ensure implementation of Inventory management system.
Functional/Technical Competencies
* Inventory management and cost control
Other Context (if applicable):
* Able to work a flexible schedule that includes evenings, weekends, and holidays.
* Performs any additional adhoc duties as and when requested by the Line Manager and/or Head of Department.
* Adheres to MAF LEC policies and procedures with regards to HSE, grooming, code of conduct, work ethics, working hours and attendance.

Minimum experience
At least ‎2-‎3 years inventory management and experience in warehousing and
logistics.
Minimum Qualifications/education
Bachelor 's Degree Business, Hospitality, or Supply Chain Management.
Strong computer and inventory software proficiency, to include Microsoft
Office Suites.
