As an Executive Assistant & Office Operations Associate you will support the
General Management team across all areas of the company's day-to-day
operations.
What you'll do:
* Maintain office operations efficiently including - kitchen/office supplies, opening and closing, IT/cleaning suppliers, trade license renewals, establishment card renewals, RTA card applications, deliveries, PO Box checking, Tecom permit application, insurance renewals;
* Team requirements including - visa applications, employee visa renewals, parking cards, medical insurance renewals, travel arrangements including flights, hotels, transport and visas, Purchase Order, Vendor/Customer creation, invoice submission, guest parking and F&B for meetings and guests (coffee, tea etc);
* Maintaining team building schedule of activities and helping to coordinate - birthday and anniversary office lunches/cakes, achievement lunches, away day/team outings, overseas visitor coordination, promotion celebrations;
* Maintain artist celebration calendar and supporting domestic music team to capture moments including - birthdays, song/album anniversaries, marriages, births, historic concerts/moments;
* Maintaining organized OneDrive of electronic filing and asset/doc library management including - contracts, videos, photos, team event photography;
* Manage company camera, capturing and filing special moments and celebration content for company.
Who you are:
* Team player/assistant/highly organized member of fast paced modern, creative office environment with experience working with Dubai government/ licensing departments and their online systems
* Life experience, character, team spirit and an obsession with detailed scheduled and logistics
* Highly organized, competent in Microsoft Office, able to navigate Government systems, maintain schedules, helpful to othersand kind and considerate
* Interests in Music, Entertaiment, Regional Culture
