About Grassitup Outdoor Furniture: Grassitup is a premier provider of
high-quality outdoor furniture, dedicated to enhancing outdoor living spaces
with innovative designs. We are seeking an Administrative Assistant to join
our dynamic team and contribute to the success of Grassitup. Position
Overview: As an Administrative Assistant, you will be responsible for ensuring
the efficient functioning of daily operations. The ideal candidate will have a
minimum of 2 years of experience in an interior design office or luxury goods
business, possess meticulous attention to detail, a passion for the industry,
strong multitasking skills, hold a university degree, bring expertise in
utilizing key business systems, and exhibit exceptional customer service
skills. Key Responsibilities: Office Management: - Maintain an organized and
professional office environment. - Manage office supplies and coordinate
procurement. - Assist in organizing office events and meetings. - Maintain
Odoo System with LPO, Product Entry, Quotations Communication: - Handle
incoming calls and emails, directing them appropriately. - Draft and edit
professional company correspondence. - Maintain communication with various
departments for seamless information flow. Record Keeping: - Maintain and
update filing systems, both physical and electronic. - Assist in data entry
and accurate record-keeping. - Prepare and update reports as required.
Customer Interaction: - Provide excellent customer service to visitors,
clients, and vendors. - Handle customer inquiries and direct them to the
appropriate departments. - Resolve customer issues promptly and
professionally. Scheduling and Coordination: - Manage calendars and schedule
appointments. - Coordinate travel arrangements for team members when
necessary. Business Systems Expertise: - Utilize and maintain proficiency in
the Odoo system for streamlined business processes. - Manage and update
Grassitup's e-commerce platform, including Shopify. - Ensure integration and
functionality within the Microsoft 365 suite. - Handle payment system
operations, ensuring accuracy and security.
Requirements
Education: - Bachelor's degree from an accredited university. Experience:
- Minimum of 2 years of experience in an interior design office or luxury
goods business. - Proficient in Odoo system, Shopify, Microsoft 365, and
payment systems. Skills: - Meticulous attention to detail. - Strong
multitasking abilities. - Exceptional customer service and issue resolution
skills. - Proficient in Microsoft Office Suite and basic office equipment.
Personality Traits: - Professional and friendly demeanor. - Enthusiastic with
