The British Embassy* in Cairo is looking to recruit a Residence
Manager
,
job grade Executive Officer (EO).
The British Ambassador's Residence is a historical building in Cairo and a key
venue for hospitality to support the work of the British Embassy, and the
official residence of His Majesty's Ambassador and his spouse. Supported by
the wider Corporate Services team, and working to the Deputy Head of Corporate
Services, the successful candidate will be expected to ensure that this key
asset for His Majesty's Government is maintained to the highest possible
standards of cleanliness and organisation, ensuring that FCDO's rules on
health and safety, financial and stock management are followed. Activities
hosted at the Residence range from small meetings, through to large evening
receptions. The Residence also accommodates senior official visitors from the
United Kingdom and the region, and private guests of the Ambassador's family.
The Residence Manager will be responsible for ensuring that events are planned
for appropriately and the resources required to deliver are in place, or
procured in accordance with UK Government procurement best practice, regularly
seeing and achieving value for money while ensuring the best possible service.
The successful candidate will also have a leadership role within the
Residence, ensuring staff are managed to the high standards expected at the
British Embassy, that all staff are treated fairly and with respect and that
they have the opportunity to develop.
Roles and responsibilities:
* You will directly manage the Head of Housekeeping and the Residence Chef and quality assure the performance of all other staff within the Residence. You will be responsible for recruitment and supporting the wider team with Learning and Development opportunities.
* You will ensure that all staff fulfil their obligations as detailed within their individual job descriptions. You will work Closely with Head of Housekeeping to ensure that rosters are fair, and that any and all overtime is justified and proportionate. You will manage planned leave or sick absences, arranging cover where required, while ensuring all absences are recorded fully on the HR and Finance systems.
* You will manage a small imprest for essential cash purchases, ensuring that all expenditure is accounted for in a timely and compliant manner. You will work with the Finance Team to ensure accurate forecasting for future expenditure.
* You will be responsible for procuring any additional goods or services required specifically within the Residence, ensuring that HM Government procurement principles are followed, and that all such purchases are transparent and offer value for money. You will develop your own network of varied suppliers and service providers
* You will carry out regular spot checks on equipment and resources and apply Value for Money principles at all times.
* You will be responsible for ensuring the safety of the Government Art Collection, retaining careful records and inventories, and ensuring items are held/maintained in accordance with UK Government Rules. You will also be responsible for retaining and regularly reviewing/updating general inventories furniture and other high value item inventories and ensuring that records are being managed appropriately.
* You will ensure that all Health and Safety measures are being followed within the Residence, by staff, visitors and external contractors, to protect staff and property from harm. You will be a member of the Post Health and Safety Committee.
* You will liaise with the Estates Manager, Clerk of Works and Technical Works Supervisor to identify issues and plan/deliver maintenance, renovation and refurbishment works as necessary.
* Working with the Embassy Events Manager, the Ambassador 's Personal Assistant and lead event staff, to oversee the professional organisation of Residence events; ensuring that streamlined "booking" systems are in place and that this system is clearly communicated and followed. Managing the Residence "events calendar" and supporting colleagues in the organisation and delivery of internal and external events.
* Maintaining overall management of the use of the Residence by visiting Ministers and other VIPs. Ensuring that their accommodation and dietary requirements are met.
* Support the delivery of income generating (IG) events. Review and update event guidance/policy as necessary and ensure user-friendly and efficient event procedures are in place, which offer the greatest value for money, using appropriate internal and external resources as required.
* Ensure the set-up and furnishings for events within the residence are in keeping with the style of the rooms. This requires an eye for detail, including design including the overall look with regard to flowers, lighting and furnishings, ensuring that the experience of the guests is to the highest standard with the residence looking its best.
The above list is not exhaustive and the jobholder will be required to be
flexible and take on other ad hoc tasks as required. The job description may
be reviewed to meet changes in business needs.

Essential qualifications, skills and experience
* Fluent in English both written and spoken. Able to express ideas and messages clearly and concisely, both orally and in written communication.
* Excellent Interpersonal and communication skills and a proven ability to engage and influence at all levels internally and externally.
* Excellent organisational ability and an attention to detail, with the ability to manage, plan, priorities and deliver tasks and workloads.
* Previous line management experience.
* Strong IT skills. The ability to use OS365 applications confidently (MS Teams, Outlook, Word, Excel).
Desirable qualifications, skills and experience
* Arabic language skills.
* Experience in managing operations, resources and/or events.
* Experience in using Oracle Based finance, procurement and HR management systems.

Eligibility:
Applicants must have the legal right to live and work in Egypt.
Remuneration:
The Embassy aims to offer an attractive working environment and remuneration
package for this role, including a non-negotiable gross salary of
USD ‎1,488
per month
, subject to insurance and tax as per the usual regulations, based
on a ‎36 hours per week. However, employees who are not liable to pay local
income tax on their Mission salary may have their salaries reduced by the
equivalent local income tax amount.
We offer a competitive package including medical benefits, performance related
bonus, recreational facilities, opportunities for job related training and
development, etc. There are no other allowances payable as part of this
package. No accommodation nor relocation expenses are payable in connection
with this position.
The Embassy core hours are Monday to Wednesday ‎08:00 to ‎15:30 and Thursday
‎08:00 to ‎14:00 and the salary is based on a ‎36 hour (net) working week. Given
the nature of the role, the jobholder would be expected to work occasional
evenings and/or weekends. Occasional remote working (in line with the
Embassy's remote working policy may be possible).
This role is for a full-time employment on a fixed term contract basis for one
(‎1) year, subject to three (‎3) months' probationary period.
The British Embassy takes learning and development seriously. All members of
the Embassy staff have access to a wealth of on-line learning activities
through the International Academy and Civil Service College, and face to face
opportunities locally, regionally and occasionally in the UK.
