Job Purpose:


The Manager of Soft Services will direct, manage and execute KAUST-wide
janitorial and housekeeping services. This includes office services management
and event management support. You will strategically review and benchmark
Janitorial service lines to deliver innovative, and best in class services to
support the University mission.


As the Manager of Soft Services you will manage contract development and
tendering for Office Services Management (furniture moves, installation,
repairs and event support - SAR15mln pa) and Janitorial Services (SAR63mln
pa.). Areas of responsibility include research, development and the
implementation of a customer services strategy to provide excellence in
customer care and communication across KAUST.


You will oversee asset management and the continuous replacement program of
over ‎45,000 furniture assets. This will include furniture management,
furniture installation, and other ancillary support including; meeting room
bookings (‎180 meeting rooms with over ‎14,000 bookings per annum,) Campus wide
key control, soft services and event support setups.


Major Accountabilities:


You will:




  • Perform KAUST wide strategic office services (non-lab space of ‎600,000sq m) management that includes direct oversight and development of staff, small and large office moves, furniture coordination, reconfigurations and documentation.




  • Design, develop and implement new additional support services to ensure appropriate and effective levels of services are provided to faculty, staff and students with efficient and prudent use of resources.




  • Establish and execute new strategic and tactical move management and post-occupancy support solutions to meet the objectives and plans of KAUST-wide departments.




  • Evaluate furniture inventory and availability for furniture installations to ensure proper re-use of KAUST resources to support the execution of requests efficiently.




  • Direct and manage the event support team who coordinate and execute the set-up, layout and operational readiness of campus facilities and residential/community facilities (KAUST-wide) to support major/signature events annually of varying sizes including Commencement and VIP visits.




  • Strategically direct and oversee the Janitorial services for all Campus facilities, Residential Facilities and Housing, Research Park and Thuwal Corniche, and direct the contractors to meet cleanliness KPls and established cleaning schedules.




  • Lead continuous improvement in housekeeping practices, with close co-ordination of Accommodation Services, Recreation Services, TKS, KAUST Health and other Community Life entities.




  • Manage residential and private service requests for housekeeping and cleaning (‎15,000 hours per month), and nanny services (‎200 hours per month) for the KAUST Community. Establish improved working practices to improve overall efficiency of the services and improvement in cleanliness for the KAUST Community.




  • Design and implement the continuous improvement of a system that handles all residential housekeeping requests.




  • Administer the supplemental services required by the visiting student program for student housing.




  • Execute sustainable operational best practices, manage services in a manner that will ensure FM's energy conservation, and carbon footprint reduction objectives are met.




  • Provide portfolio information to support monthly business reviews, benchmarking initiatives, system requirements and ad hoc requests.




  • Evaluate service providers contractual performance on a monthly basis, and recommend alterations in contractual scope where required to best serve KAUST.




  • Coordinate Safety Inspections throughout campus to maintain a safe working environment liaising with the HSE Department, and other stakeholders on any observed breaches.




  • Develop subordinates individual learning through championing personal development.




  • Participate in the development of organizational structure for succession planning.




  • Monitor and check service provider and facilities management organizational structures and staffing levels, and suggest if any changes are required to improve the service delivery.




Qualifications:




  • Bachelors' degree in Engineering, or related Business degree.




  • Relevant certifications to display expertise, or professionalism in the field.




Experience:


You will:



  • Have a minimum of ten years relevant experience at Supervisor or Manager level within Higher education, or similar environment.
