Job Description (Roles and Responsibilities) ‎1
The British Embassy Riyadh has a vacancy for Estates Assistant on a fixed-term
contract of two (‎2) years.
The jobholder will assist the Accommodation Officer and Estates Manager (EM)
with daily tasks of running a diverse portfolio of UK Based Staff
accommodation and assist with related issues. They will also work closely with
contractors who undertake the cleaning, gardening, and pest control activities
on the Embassy Estate.

Duties and responsibilities:

* Accommodation services
* Monitor and report all maintenance issues to leasing agents and inspect work once completed.
* Produce monthly fire extinguisher, first aid kit, and fire alarm inspection reports and upload to correct files on MS Teams.
* Support the Estates Manager in regards to villa cleaning, furnishing, and disposing of old furniture
* Build and maintain working relationships with maintenance managers and supervisors.
* Liaise with leasing agent's maintenance teams in regards to proactive and reactive maintenance issues.
* Liaise with external contractors on all matters regarding the up keep and tidiness of the estates assets.
* Proactively log and record all maintenance issues on estates log spreadsheet.
* Proactively inspect estate assets and report any damages to estate supervisor/ organise repair or replacements.
* Monitor and inspect all villa cleaning once completed and report any outstanding issues.
* Liaise with the Technical Works Group (TWG) and monitor the Embassy's store of maintenance parts needed to be supplied to leasing agent.
* Corporate services support and other corporate activity
* Work with the Community Liaison Officer (CLO) and proactively check what events are coming up in the Embassy and assist setting up for these events.
* Produce in a timely manner all forms required for new march in and out to Estate Manager/ supervisor.
* Assist the Estates Manager with march-in and march-out reports and upload these to the Estates Team's folder.
* Proactively raise corporate requisitions. Monitor all invoices to ensure these are correct and report any issues.
* Join and attend at least one (‎1) Embassy committee, having an active role within the committee and work towards future goals and corporate objectives.
The above list is not exhaustive, and the jobholder will be required to be
flexible and take on other ad hoc tasks as required, including participating
in the Embassy's emergency planning and any other response to a crisis
affecting UK citizens. The job description may be reviewed to meet changes in
business needs.

Eligibility:

* The successful candidate must be able to secure a local residence and work permit in Saudi (iqama) OR already have the right to work and reside in Saudi.
* The British Embassy provides visa sponsorship. The successful candidate will be required to transfer their visa under the Embassy's sponsorship.
Essential qualifications, skills and experience ‎1
* Previous relevant experience and knowledge of property/ estates management.
* Exceptional planning, organisational skills and keen attention to detail. Ability to prioritise own workload and meet deadlines without compromising the quality of the work.
* Excellent command of spoken and written English. Able to express ideas and messages clearly and concisely.
* Excellent interpersonal and communication skills, with proven ability to engage and influence at all levels internally and with external contacts and collaborate effectively across teams. Ability to develop and maintain a range of contacts to build effective working relationships.
* Strong customer focus and ability to deliver quality service. Demonstrates courtesy and consideration in dealing with stakeholders across all levels.
* Flexible, resilient under pressure, and decisive, with a proven track record of delivering results regularly within tight deadlines.
* Ability to think logically/ laterally and be able to display sound judgement. Ability to manage customer expectations and display a flexible approach and resourcefulness in solving problems.
* Strong IT skills and proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Teams).
Desirable qualifications, skills and experience ‎1
* Familiarity with UK fire safety and health and safety laws.
* Finance/ budget management experience.
* Arabic and/ or Urdu language skills.

The Embassy aims to offer an attractive working environment and remuneration
package for this role.
Monthly salary details:
* Base Salary - SAR ‎5,137
* Housing Allowance - SAR ‎1,284 (subject to eligibility)
* Travel Allowance - SAR ‎500 (subject to eligibility)

* Total - SAR ‎6,921
* Allowances are not payable to staff who receive official provision for such expenditure in some other form. Spouses/ Dependents of UKBS officers working at the Embassy are not eligible to Housing or Travel Allowance.
No accommodation nor relocation expenses are payable in connection with this
position.
This position is full-time, based on ‎35 hours per week. Normal working hours
for the Embassy are from ‎08:00 to ‎15:00 from Sunday to Thursday, with core
working hours from ‎10:00-‎15:00. Core working hours is the period of the day
that employees are required to be at work. The working day outside of the core
hours is a flexible period, which allows employees to choose when they work,
subject to operational needs.
The jobholder will be required to be flexible in their approach to hours
worked as these will be dictated by operational needs and may involve working
out of hours (evening and weekend). Flexible working arrangements may be
considered based on operational requirements and agreement with the line
manager, and in line with FCDO and Embassy policies.
The successful candidate will be subject to a ‎90-day probationary period.
The successful candidate will be required to transfer their iqama under the
Embassy's sponsorship.
