non-profit and non-governmental organization (NGO) with Headquarters in
Germany. We work in the field of humanitarian aid, rehabilitation and
development and primarily focus on the WASH sector.
Globally, arche noVa currently works in twelve countries. Since ‎2013, we have
been implementing projects for IDPs, returnees and host communities in
Northern Iraq and Kurdistan (Diyala, Sulaymaniyah and Kirkuk Governorate).
arche noVa provides WASH services in IDP camps in Sulaymaniyah, Kalar and
Khanaqeen. Over and above that, we also provide WASH services and support
outside of camps by rehabilitating WASH facilities in schools and health
centers, as well as improving water and sewerage systems in villages. arche
noVa is further expanding on these WASH support activities through a more
sustainable long-term and holistic approach focused on community engagement,
capacity building and livelihood diversification in the agricultural sector,
yet always continuing to keep WASH at its core.
arche noVa co-leads the WASH Sub-cluster in Sulaymaniyah Governorate and the
WASH Working Group in Northern Diyala Governorate.
Objective of the position:
To provide support to AN team in logistics, purchasing and administration and
to perform other functions within his/her capacity, skills and knowledge as
may be requested by managers/supervisor.
Duties & Responsibilities:
Logistics
* To assist the supervisor/line manager in preparation and processing of logistics process and documentation and to ensure proper filing of all logistics records as appropriate; including but not limited to: collection of quotations and ensuring that all the necessary requested information is obtained and included in the quotations;
* Participate in following market prices, as well as regularly updating supplier, vendor and price lists;
* Direct, optimize and coordinate the full order cycle and liaise/negotiate with suppliers, manufacturers and retailers;
* Ensure proper receipt of items at the office and ensure proper filling in and filing of Good Received Note for items received; as well as ensure that the delivery deadlines are met;
* Compile purchase files with all the necessary documents and prepare payment documents for the finance department;
* Manages office stationery and ensure proper supply and control system
* Manage any shipments and deliveries as well as ensure the compliance with any tax requirements;
* In liaison with the Logistics Coordinator ensure that all procurements are tracked and recorded;
* Maintain the asset registers accordingly;
* Meet cost, productivity, accuracy and timeliness targets;
* Field travels required on regular basis;
* Liaison with field offices to ensure collection of all original files and documents from the field;
* Keeping up to date inventory lists with regular physical checkup;
* Ensuring proper functionality of the main office and the guesthouses;
* In all processes; ensure compliance with AN and donor procedures;
* Perform any other related duties as required from the Logistics Coordinator, Head of Operation as well as the Head of Mission.
* Perform any other related duties as required.
Admin
* Translate official documents and written communication from Kurdish to English and vice versa (if needed);
* Ensuring proper documentation (i.e., lease, insurance, mechanical inspection, etc.);
* Ensure Office supplies such as, cleaning products are well stocked and available.;
* Supervision of cleaners and ensure proper supply of cleaning items; and ensure that the cleaner(s) perform their roles properly; Good knowledge and/or at least ‎1 year experience of logistics support and administration
* Experience in international NGOs an advantage.
* Bachelor’s degree or certificate in Business Administration or related field an advantage
* Fluency in English, Kurdish and Arabic
* Ability to work efficiently, under pressure and adapt to difficult conditions.
* Planning and organizational skills;
* Ability to keep clear and concise records
* Effective communication skills
* Effective negotiation skills
