The position


This is an Aswan based position.


The Om Habibeh Foundation (OHF) is an Egyptian non-profit organization
established in ‎1991 under the supervision of the Ministry of Social
Solidarity. OHF is the implementation agency for the Aga Khan Foundation Egypt
and is an affiliate of the Aga Khan Development Network of organizations and
was founded by Om Habibeh Mohamed Shah Aga Khan to contribute to and support
local communities in the governorate of Aswan in areas including health care,
education, and providing income for deprived communities through long-term
development activities. OHF works in the following areas: Continuing
Education, Civil Society, Agriculture and Food Security, Economic Inclusion,
Women Empowerment and Early Childhood Development.


RESPONSIBILITIES: Administration and Logistics:
Carry out and coordinate administrative, logistics, and procurement
activities.
Ensure orientation training provided to international or national staff for
administration policies and procedures.
Respond to queries and ad hoc requests, communicate, and provide support in a
timely, friendly and efficient manner and cultivate strong stakeholders’
relationships.
Design, implement and maintain a proper record keeping and filing system.
Manage all the car requests and transportation matters, such as car tracking,
regular maintenance, drivers’ schedule, ... etc.
Negotiate all agreements with hotels and travel agents to get the most
competitive rates.
Handle all hotel reservations requests, as well as the travel request
arrangements, such as booking air tickets, ... etc. for office visitors or
travelling staff.
Prepare documents for processing hotels, airfare & external car rentals
payments.
Maintain the petty-cash operations.
Schedule and organize in-house and external events.
Supervision of support staff; office Messenger and office driver.


Maintenance Responsibilities:
Responsible for building and guest houses management, operations and
maintenance, including refurbishment, equipment … etc.
Responsible for supervising/liaising with
engineers/architects/technicians/service providers for building operations.
Responsible for the assets’ inventory in collaboration with the Finance team.


Procurement:
Ensure compliance with the procurement policies and procedures.
Timely procurement and delivery of high quality, low-cost materials and
supplies, goods, and assets.
Ensure safe receipt of goods and assets, proper documentation and record
keeping, maintain updated assets records and ensure safeguard of assets in all
OHF locations and recommend disposal as required.


Information Technology:
Oversee the Information Technology service.
Liaise, coordinate, and follow up with service providers to solve
troubleshooting IT problems.


Communication and Marketing:
Support in planning and coordinating all events.
Procure and manage consultants and service providers where required (such as
marketing agencies, consultants, copy editors, photographers, software
suppliers, or web developers).
Assist the technical staff in execution of integrated marketing campaigns to
increase participants' enrolment, and private and public participation and
engagement.
Work with relevant vendors (photographers, designers, etc.) to produce
advertising materials.
Provide a monthly online media analysis, including social media analysis.
Assist in updating the official Facebook page of OHF to increase demand and
drive the enrolment and involvement in different activities.
Generate and assist in interactions on social media and act as the online
community manager for OHF social media platforms.


Others:
Supervise the security measures in coordination with the organization Security
Focal Point.


The requirements


QUALIFICATION & EXPERIENCE:
University degree in business, law, economics, public administration, or any
other relevant field.
‎5 to ‎7 years of related experience.
Very good understanding of the Egyptian laws.
Very good knowledge of Microsoft Office applications (word, excel, power-
point, … etc.).
Knowledge of computers and electronics is an asset.
Customer service oriented and ability to exercise sound operational judgment.
Ability to work independently and as a team player in a detail-oriented and
analytical way.
Ability to manage multiple tasks and duties as assigned, prioritize in a fast-
paced deadline-driven environment.
Excellent verbal and written communication and presentation skills in Arabic &
English.
Ability to interact well with partners and staff.
Ability to identify complex problems and review related information to develop
and evaluate options and implement solutions.
Ability to consider the relative costs and benefits of potential actions to
choose the most appropriate one.
The incumbent must have negotiation skills and critical thinking to be able to
use logic and reasoning to identify the strengths and weaknesses of
alternative solutions, conclusions, or approaches to problems.
Understanding of social media platforms, their participants, and their
community dynamics (that is Facebook, Twitter, YouTube, LinkedIn, etc.) and
how they can be used in different scenarios.
Strong planning, organizational, time management, and multi-tasking skills.
Personal initiative, creativity, and drive.
Sensitivity with respect to communications and differences in dealing with
people from different cultures.
Must thrive in a fast-paced, deadline-driven environment.
Integrity, attention to details, cooperation, persistence, and dependability
are work styles that need to exist in the suitable candidate.
