Role Summary
Opreations Specialist is mainly responsible for effective coordination and
administration of daily operational tasks / activities concerning the Office
Maintenance. and Supporting on Facilities Management related tasks at the
assigned Offices ensuring high level of operational support is provided to the
Offices employees in an accurate and timely manner.
Role Profile
* Daily Inspection Of The Offices And Coordination With Security And Housekeeping For The Issues To Be Resolved I.E. Any Technical Defects, Rectification Work, Fire & Health Safety, Security, Maintenance, Cleanliness And Other Office Issues
* Carry Out Routine Inspection Checks For Different Aspects Of The Assets (Storages, Other Back Of Houses, Washrooms, Public Corridors, Storage(S), Data Centre, Etc)
* Monitor The Performance Of All Soft Services Contractors In The Assets And Ensure They Are Fully Compliant With Their Sla Contractual Obligations. Report Any Breech Or Variation To The Site & Work Environment Manager.
* Assist The Site & Work Environment Manager In Reducing Operating Cost And Ensure That The Total Operating Expenses In The Assigned Office Should Remain Within The Budget
* Provide All Relevant Information And Documentation During The Operations Audit Process (Fire, Health & Safety, Security, Fm Etc.). Ensure Finding Of The Audit Process Is Implemented Within The Agreed Timeline.
* Assist The Site & Work Environment Manager In Implementation Of The Sustainability Targets Set Out By The Management In The Assigned Office.
* Coordinate With Procurement In Regards Of The Tendering Process For All Jobs Assigned To Be Carried Out By Operations Team.
Requirements
* Minimum 3 - 5 Years Of Experience In Supervising / Coordinating 3Rd Party Service Providers Including Soft And Hard Services Including Contract Administration, Reporting, Processing Of Purchase Orders / Invoicing And Payments And Maintaining Budgets
* Office Operations And/Or Mall Operations Knowledge.
* Excellent Communication Skills
* Negotiation Skills
