AJC International is looking for an energetic and dynamic Office Services
Representative* to join our Dubai team. The Office Services
Representative
preforms a range of clerical and general office duties to
help support the company 's internal and external customer service functions
in a fast-paced environment. The ideal candidate should be an enthusiastic
individual interested in starting an exciting career with an international
company!
Qualification and Education Requirements*
* Excellent communication skills; able to communicate effectively with varying levels of internal and external parties via phone, in person, and email
* Strong customer service skills
* Organized and detail oriented
* Ability to multi-task & prioritize in a fast-paced environment
* Friendly, outgoing team player, with a positive attitude
* Ability to think fast on feet; handle situations or emergencies that might arise and require quick decision and/or action
* Effective verbal and written communication skills
* Previous international experience or exposure is preferred
* Bachelor's Degree or equivalent experience preferred
* A minimum of two years of receptionist or administrative experience in a fast-paced office environment is required.
* Advanced Microsoft Office knowledge especially in Excel is required.
Language Requirements
* Candidates must be able to speak, read, and write English fluently. Proficiency in a second language is a plus.
Scope of Responsibility**
* First point of contact; answer all incoming calls promptly and professionally, maintaining a positive attitude
* Welcome visitors before determining the reason for their visit and directing them accordingly
* Manage conference room schedule, meeting rooms, and welcome screen
* Responsible for handling incoming and outgoing courier packages with UPS/FedEx/DHL
* Provide general clerical and administrative support to AJC Logistics Management
* Process internal requests for office or equipment maintenance and coordinate with vendors or facilities staff through completion
* Assist in event planning for corporate functions and local tradeshows and conventions
* Handle Domestic and International travel arrangements
* Basic accounting responsibilities consolidating AOS vendor invoices
* Communicate with banks, DMCC and Insurance companies
* Outsource local suppliers for marketing/promotional materials
* Review the yearly corporate contract from partnered hotels
* Handle petty cash and cash flow of the office
* Maintain supplies for the entire office such as for the pantry and stationary items
* Outsource local ITC companies for local purchase of IT supplies for the office
