Administration & Order handler

You will be working as a Admin & Order handler and will be the part of
Electrification Business Area for Services Division located in Dubai, UAE. In
this role you will be responsible for Administration and Order Handling
ensuring delivery of selected product, on time, on budget and coordinating
with internal stakeholders for administration and Order handling for customers
thus being an Ambassador for ABB in front of the End User.

Your responsibilities

• Take over the project from sales team, enter sales order in SAP after reviewing the order papers given by the sale support. Generate purchase requisition in SAP for ordering material and send to SCM email.


• Complete correspondence with customer for all orders including follow up for advance payment (as per the agreed payment terms). Goods receipt and final Invoicing to customers and passing POD in SAP.


• Arrange dispatch of the shipping documents on time to customers, follow up with customers for timely payment collection and all respective PDC and security cheques taken from customer to be returned on receipt of the complete payment.


• Take care of cost center related purchases till final delivery and return as per the agreed terms, order handling responsibilities of other OH colleagues in their absence as a Backup, invoicing of sale orders, collection calls to customer for due/overdue payments.


• Summary report for daily rate-site service, checking backlog orders that is yet to be Invoiced, arrange the documents required by the Engineers Coordinating with ABB Abu Dhabi (if Engineers required for CNIA Security Pass). Apply Certificate of Origin online (one of the shipping requirements for dispatching materials).


• Make travel authorization for all the Engineers travelling outside country for business purpose, pre-Qualification Questionnaires / Documents, any SAP implementation, logistic support - creation of COO, AWB and shipping docs.


• Create bank guarantee like APG and PBG in TFL (Trade Finance Link), TNPS creation and monthly report status based on PM's input, Visa assistance for site engineers travelling for business. Coordinate for all meetings either internal or customer meeting.


• All necessary access for newly joined employee, including IT required things, ID and system access such as SAP, Shared drive etc., monitor E-Learning completion for whole team - ‎3442. UAT test for all new system implementation in the business and coordinate with BOL& Celonis team for project implementation in the business.

Your background

• Bachelor of Electrical Engineering.


• ‎5-‎7 years of experience.


• SAP, process implementation, commercial terms & conditions.


• Good verbal and written English communication skills.
