JOB SUMMARY
Assist the Housing Manager in the responsibility for the direction, control,
administration, organization and operation of the Housing Departments.
SCOPE / BUSINESS CONTEXT
* A Full Time position based at JW Marriott Marquis Dubai.

* Titles of Direct Reports - Housekeeping Supervisor, Housing Administrator, Housing Generalist
* Direct Reporting - Multi Property Housing Manager

SPECIFIC DUTIES
The following are specific responsibilities and contributions critical to
the successful performance of the position:

* Assist in the creation and devising a cleaning plan for the staff house and ensure its daily completion.
* Communicate any problems or concerns with the Housing Manager.
* Assist in housing P&L & Forecast whenever needed.
* To ensure Emergency Response plan are prepared on daily basis and discussed with team as part of daily briefing.
* Conduct the required training for housing staff whenever needed in order to enhance the performance of team.
* Make & review monthly duty roster for Security Team in order to support the building security operation.
* Conduct random room inspection and keep data for entire Housing.
* Approve all necessary cleaning and associate supplies and ensure correct tracking of usage.
* Conduct daily, weekly, monthly & quarterly audit in order to make sure entire housing operation are running smooth and have not discrepancy.
* Make sure all housing notice boards are up to standards.
* Performance management of team and ‎1 to ‎1 session in order to keep the performance of team up to standards.
* Enforce and uphold the rules and regulations of the staff housing.
* Maximize awareness of safety and security amongst the Associates in the staff housing.
* Inspect staff housing room in order to make sure are rooms/apartments are taken care by staff up to the standards.
* Make weekly/monthly report assign by Housing Manager.
* Prepare Housing data base for monthly reporting.
* Daily security team briefing & review security dispatch report.
* Make weekly/monthly WDYT portal complain comparison report.
* Review daily basis WDYT portal complain related to housing operation and to make sure are complain and concerns are getting close with timely manners.
* Monthly & quarterly housing inventories covering stores and apartments.
* Assist in preparing property Asset report to Housing Manager.
* Prepare monthly housing scrap report.
* Monitor daily usage of transportation operation.
* Communicate awareness to staff using communication tools & hosing notice boards.
* Coordinate with Transportation Company in case of any changes in transportation operation.
* Walk around entire housing in order to make sure all areas safe and secure & having no maintenance issues.
* Coordinate with engineering team in related to building maintenance issues.
* Supervise the new arrival experience in order to make sure all new joiner staff are taken care upon arrival.
* Conduct new arrival orientation & housing tour and brief housing rules and regulations.
* Ensure that associates rooms and public areas undergo consistent inspection I compliance with the Marriott SOP and LSOP.
* Implement effective Sports activities and ensure Associates participation in all levels.
* Ensure effective Associates Recognition Program, increasing Associates productivity, morale and attendance. Also implement a Cross Training Program to increase flexibility and enable promotion within.
* Ensure that checklist of all the Fire and Safety Equipment are done.
* Coordinate with the Housing Manager to all incoming new hires and implement arrival experience.
* To ensure that each and every job is done to a high standard that all work schedule is done in a timely manner.
* Assist the Housing Manager in identifying and resolving all personnel problems related to housing and personnel welfare.
* Conduct housing audit in order to make sure entire housing operation is up to the standards.
* Investigate the housing incidents and make incident report to present to housing manager.
* Checking daily recreation facilities in order to make sure all facilities are up to standards.
* Organize sports activities for staff and assist in sports events.
* Any other duties as directed by the Housing Manager/Management.
OTHER
Safety and Security
* Report work related accidents, or other injuries immediately upon occurrence to manager/supervisor.
* Follow company and department safety and security policies and procedures to ensure a clean, safe, and secure environment.
* Notify Loss Prevention/Security of any guest reports of theft.
Policies and Procedures
* Follow company, hotel and department policies and procedures.
* Follows Marriott International Hotels Limited Regional Office policies and procedures
* Protect the privacy and security of guests and coworkers.
* Maintain confidentiality of proprietary materials and information.
* Ensure uniform, nametags, and personal appearance are clean, hygienic, professional and in compliance with company policies and procedures.
* Protect company tools, equipment, machines, or other assets in accordance with company policies and procedures.
* Perform other reasonable job duties as requested by Supervisors and Management.
* Working hours as required to do your job but normally not less than ‎48 hours per week.
Guest Relations
* Actively listen and respond positively to guest questions, concerns, and requests using brand or property specific process (e.g., LEARN, JW Symphony of Service) to resolve issues, delight, and build trust.
* Assist other employees to ensure proper coverage and prompt guest service.
* Anticipate guests' service needs, including asking questions of guests to better understand their needs and watching/listening to guest preferences and acting on them whenever possible.
* Address guests' service needs in a professional, positive, and timely manner.
* Engage guests in conversation regarding their stay, property services, and area attractions/offerings.
* Thank guests with genuine appreciation and provide a fond farewell.
* Welcome and acknowledge each and every guest with a smile, eye contact, and a friendly verbal greeting, using the guest's name when possible.
* Supply guests/residents with directions and information regarding property amenities, services, and hours of operation, and local areas of interest and activities.
Communication
* Answer telephones using appropriate etiquette including answering the phone within ‎3 rings, answering with a smile in one's voice, using the callers' name, transferring calls to appropriate person/department, requesting permission before placing the caller on hold, taking and relaying messages, and allowing the caller to end the call.
* Speak to guests and co-workers using clear, appropriate and professional language.
* Talk with and listen to other employees to effectively exchange information.
Working with Others
* Support all co-workers and treat them with dignity and respect.
* Handle sensitive issues with employees and/or guests with tact, respect, diplomacy, and confidentiality. Develop and maintain positive and productive working relationships with other employees and departments.
