Supervises sorting and distribution of incoming and outgoing Hospital and
personal mail, as well as inter-departmental mail. Maintains a current
business stamp fund log for posting of official business mailing. Supervises
all official incoming and outgoing correspondence and Liaison Services to all
Hospital departments.
1.Schedules collection, sorting and distribution of incoming and outgoing
mail.
2.Ensures that all official Hospital business mailings are posted to the
business stamp fund log by each respective department, listing and appropriate
charges.
3.Supervises and controls stamping and franking of outgoing Hospital mail and
ensures maintenance of related accounts. Controls the franking of outgoing
personal mail for convenience of employees.
4.Maintains and controls petty cash fund, paying any official excess or
delivery fees required by the Government Post Office Regulations.
5.Maintains records of receipt and dispatch of registered mail. Dispatches all
official business mail on a timely basis. Ensures all receipts are collected
and submitted to Financial Affairs for reimbursements to the business stamp
fund.
6.Supervises delivery of parcels, and maintains proper documentation or
receipt and delivery of such parcels. Maintains log of all official
communications to/from the Hospital. Schedules all official mail delivery,
supervises the courier, organizes and monitors the schedule of delivery and
maintains the log. Supervises and control distribution of Hospital
Publications.
7.Prepares monthly, semi-annual and yearly reports based on the section
activities . Maintains such records and establishes required files
8.Schedules employees to ensure proper coverage . Determines training needs of
subordinates. Assists with training and orientation of new employees.
Evaluates performance of subordinates. Counsels subordinates to improve
performance. Reviews applications for employment. Interviews candidates and
participates in the selection of candidates.
9.Supervises the daily activities of incoming fax operations. Supervises the
daily activities of incoming and outgoing correspondence area and liaison
Services to all Hospital departments. Follows all related Hospital Policies
and Procedures.
10.Follows all established Hospital policies and procedures.
11.Participates in self and others' education, training and development, as
applicable.
12.Performs other related duties as assigned.
Master's or Bachelor's Degree in Business Administration or any related
discipline required.
Five (5) years of related experience with Master's Degree, or seven (7) years
with Bachelor's Degree, including two (2) years in a managerial position
required.
