Provide an efficient and optimum working environment by driving Workplace
experience department to meet needs and optimize workflow process in
accordance with PMI practices & principles and maintain functionally effective
working environment to embrace a new way of working that supports our ambition
of a smoke-free future and reflects our new culture and leadership signatures.
1. Lead on the implementation of records management project as well as
coordination with management to maintain all PMM records in line with PMI and
local policies.
2. Managing and handling day to day WX requests, such as Creating Pos/GRs for
WX services (hospitality items, kitchen supplies, office furniture, etc..) in
line with PMI and local policies.
3. Design and lead strategies and action plans related to office space,
submit occupation plans, keep track of staff moves and departmental
reorganizations, future projections and organize adequate accommodations to
maximize space utilization.
4. Ensure following all PMI policies in terms of supplier selection, file
maintenance, weekly stock checks, cost control and follow up on the compliance
requirements for vendors.
5. Ensure administration support is provided to all employees in terms of
preparation of office supplies, stationery, business cards, toner for the
equipment, etc. in order to ensure an appropriate and comfortable working
environment.
6. Administer the WX contracts to ensure timely extensions or terminations in
line with PMI policies.
7. Manage the WX budget and ensure continuous alignment with finance.
FLEET MANAGEMENT:
1. Manage cars purchase / lease in close alignment with Procurement Depart.
and EHS as well as evaluating alternative car models and lease/buy
alternatives.
2. Ensure that all owned cars are well maintained, timely registered and
insured whilst managing insurance premiums.
3. Control all vehicle costs and car allocations to employees. Report all
accidents, fuel consumption, kilometers, maintenance & repair costs as well as
traffic tickets to concerned management team & departments.
4. Manage the vehicle disposal process in accordance with the affiliate
practice and at competitive price.
5. Coordinate the visitors and personnel transportation schedule to assure
efficiency and punctuality in case of availability.
