Manage and co-ordinate distribution for all inbound customers
Receipt / Dispatch & Inventory Reconciliation
Overall responsibility of receiving product from production area & dispatch to
local/ export customers according to Chevron's standard and procedures.
Populate Distribution Resource Planning (DRP) to ensure timely delivery of
orders with full set of required documentation to meet or exceed OTIF targets
Daily reconciliation of each received product from filling line and dispatched
products to local/ export customers. Coordinates daily plans for the lube
dispatches in accordance with fleet optimization procedures by allocating
resources for dispatch of lube through contractor fleet operations. Ensure
proper control & handling of Lubricant Oil packages and drums receipt /sale, &
stock reconciliation as required. Handle the transporter's representatives and
the transporters drivers for smooth and uninterrupted product deliveries to
local/ export customers Co-coordinate with external customers who pick up
their deliveries and satisfactorily handling their issues pertaining to
product deliveries Co-ordinate with sales team (Retail and Industrial, &
Commercial) for scheduling and executing their product deliveries. Handle
daily coordination with Customer Service Department Coordinate with Production
Team for any change or amendment in the production plan and as well as to know
the requirements from the sales group.
OE & Compliance
Responsible for safe and incident free operation in Dispatching
Department.Coach and mentor other employees, Service Providers, Forklifts
drivers, contractors, Transporters/ Customer drivers and workers for better
understanding & execution of Chevron Way & OE expectationsUpdating all staff
with basic principles of HES & other related issues on regular intervalEnsure
that RTS Assessments of Contractor's Fleet is done on regular basis and
actions are completed as advised.Communication of OE reports, bulletins and
alerts to be shared widely with the team.Ensure that all vehicles are
compiling with Chevron's safety standards and keep record of all checklists.
Ensure Journey Planning is being followed as advised and expected from the
organization.
Coordinate and gather data of OTIF on regular basis and further compilation
for onward submission
SAP & Documentation Record for Audit
Compiles and classifies all documents required for dispatch issuing on a daily
lube dispatch report and maintains filing system for back office support of
all delivery transactions processed to help & support audit. Ensure, all the
required documentations for Direct invoicing are met and followed Ensure
Finance & Accounting guidelines are implemented for the smooth handling of
Sales and Distribution modules. Preparation of Manual Invoices when GP is
disconnected as per standard operating procedure. Updating of all Manual
invoices after resumption of GP. Check all entries are punched and deliveries
are reconciled. Compiles, classifies, register, Control, coordinates and
reconciles the paperwork according to approved accounting and compliance
requirements, ensuring that Accounts Payable systems data are updated, and all
vendor information included & updated.
Ensure SOX Controls are in place i.e. Inventory Reconciliation, Sales Order
Management, User Access Review & Segregation of Duties……. etcto the region.
Study failure reasons & provide actions to bridge those gaps
Chevron participates in E-Verify in certain locations as required by law.
