Provide assistance and administrative duties to the Executive Office to ensure
smooth operation and effective communication among hotel's departments as well
as guests.
Your day to day
Cover for the Personal Assistant to the General Manager, as well as the personal assistant to the Resident Manager in her absence; whether on vacation or during the day.
Carryout administrative duties, as requested, by the Resident Manager in the absence of his personal assistant to be completed while maintaining office presence.
Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
Answer and direct phone calls.
Reply to email, telephone or face to face enquiries.
Demonstrate awareness of & commitment to Hotel's policies and procedures and ensure all procedures are conducted safely and within its guidelines.
Maintain the filing system of the GM's Office (soft and hard).
In charge of GM's Office supplies to maintain proper stock and keep office's collaterals up to date as per Brand Identity Guidelines.
Maintain up-to-date employees' vacations records and medical reimbursements.
Book travel arrangements.
Oversee and supervise the work of junior staff.
Update Hotel's / GM's main contacts lists.
Maintain the strictest confidentiality while handling any sensitive/ confidential information.
Ensure GM's Welcome Cards are filled in and completed before guests pre-arrival, according to daily VIP list provided by Guest Relations Manager.
Ensure Hotel's telephone extension list is up to date by Chief Operator.
Ensure Housekeeping chores (cleanliness & minibar stock) of the GM's office are well provided and maintained by Housekeeping & Room Service.
Report any maintenance/Technology issue at the GM's office to the concerned department respectively to be resolved within timely manner without disturbing the office operation.
Ensure daily hardcopies of Local/ International newspapers and magazines are delivered to the GM's office by Bell Service.
What we need from you
Fresh graduate.
Excellent time management skills and ability to multi-task and prioritize work.
Excellent English both written and verbal.
Proficient in MS Office.
