Operations Manager

The Operation manager leads all efforts to manage the VICE office in Ryadh
VICE Jax is a joint venture between VICE and a large Middle East media
partner. VICE Jax's primary directive is to create a leading platform for
quality digital Arabic content centered on modern Arab youth culture anchored
in Saudi Arabia. The expectation of this role and others connected with VICE
Jax is that you will work on VICE JAX project as well as other VICE Media
lines of business including VICE and Virtue (VICE's creative agency) projects
throughout the Middle East and Africa.
ROLES AND RESPONSIBILITIES
* Manage on-staff team - coordinate schedules, provide tasks, provide support and feedback, ensure there is coverage at all times
* Manage vendor relationships for all third party vendors (kitchen stocking, cleaning, security, plumbing, HVAC, general maintenance, etc) - oversee scheduling of services, financial & performance reviews with current vendors and procurement process when new services are required
* Maintain overall cleanliness and functionality of the office - ensuring everything is in good working condition in a prompt manner, determine and schedule repairs, oversee renovations projects, supervise safety inspections
* Documentation of all repairs and maintenance issues
* Manage ID card process and security access procedures for the office, enforcing regulations set by our Security team
* Manage office events and on-site filming
* Manage mailroom operations - incoming mail/packages, enforce security protocols for mail, inventorying, organization, distribution, as well as outgoing shipments
* Manage procurement, stocking and inventory of supplies
* Coordinate and supervise office seating and moves
* Manage purchase orders, invoicing and expense report processes, track OpEx and CapEx budgets, seek efficiencies for departmental savings
* Serve as point of contact with Landlord
* Maintain organization and inventory for our storage spaces (onsite and offsite)
* Plan, evaluate and improve intra-department policies and work with Head of Global Facilities on company-wide consistency of those procedures
* Onsite lead for all employee support requests - internal "client services"
* Build and maintain strong working relationships with executives, department leads and staff and deliver results based on their needs
* Work closely with colleagues in HR, IT, Security, Risk and Community on joint initiatives and projects
* Be on-call, as needed, and ensure that there is ‎24-hour emergency coverage for the office at all times
* Create a positive atmosphere of professionalism and support
QUALIFICATIONS
* ‎5+ years prior facilities experience (with experience managing a team of staff and vendors)
* Passionate, motivated, confident and enthusiastic
* Proactive and solution-oriented
* Highly organized and resourceful
* Balance, adapt to and prioritize many tasks in a fast-paced environment with strong follow-up skills, work well under pressure
* Have strong sense of accountability, discretion, and integrity
* Take initiative, think strategically, develop and manage projects
* Work collaboratively and professionally as a team member
* Interact and communicate professionally and effectively at every level - with executives, senior management, all employees, as well as outside vendors and contractors
* Excellent verbal and written communication skills

LOCATION
The candidate is expected to be located in Riyadh where VICE's Arabia HQ will
be located.
