The opportunity
Project: This is an opportunity to work on one of the largest programmes in
Saudi Arabia. This unique project consists of major mixed use development
including sports facilities, entertainment, and arts along with all associated
infrastructure. Mace is one of the Delivery Partners requiring high-calibre
and experienced professionals to lead integrated teams throughout each phase
of the project.
Your responsibilities will include:
* Providing professional executive assistance support to the ANZ MD and NSW, VIC and QLD regional business and service line leads including office administration, updating company records, filing, travel arrangements, secretariat, etc.
* Providing reception services to staff / visitors including managing meeting rooms, calendars and arranging internal and external meetings, training and events (as required).
* Managing administrative quality assurance functions and supporting internal and external audits for the ANZ business across health, safety and wellbeing, environment and quality.
* Assisting with the coordination and development of tender submissions, reports, presentations, marketing material and other internal or external documentation as required.
* Supporting client project set-up and monthly management, controls reporting, invoicing and administrative processes via Oracle.
* Supporting our integrated ANZ operating model, flexible ways of working, office environments and delivery of internal business improvement projects or strategic initiatives as part of the ANZ growth strategy.
* Supporting the facilities manager in managing the smooth running of our contracted sites.
* Supporting account management, invoice processing and proactively manage all contractors and suppliers. Ensuring all services are carried out in accordance to the contract service agreement. Maintain contractor health and safety documents.
* Engaging and building strong relationships with stakeholders across the business. To challenge and influence decisions while still achieving the best outcome for the business. Delivering on commitments while ensuring delivery of effective communication.
* Overseeing daily operations and be the first point of contact for all enquires around facilities and client experience.
* Ensuring all asset, contractor and compliance data is captured and that all documentation is accessible centrally, accurate and current in the CAFM system to enable real-time reporting.
* Utilising the asset management CAFM request system for work order management and prioritisation.
About you
You have a relevant degree qualification. You will take personal development
seriously and be chartered or pursuing a similar level of professional
qualification.
You are digitally savvy, can build lasting client relationships and lead
strong, motivated teams. You must have experience of programme or project
management equating quality and value with individual client and be hungry to
