Work areas
Facility Management
* All activities related to running the office efficiently
* Responsible for compliances (Safety and Security) required as per company guidelines and local/ country laws
* Inventory Management (Laptops, Phones, admin assets)
* Courier / Postal bookings and receiving from Post offices
* Support to teams on Phones / mobile phones talk / negotiation with vendors
Transport / Care of Talents
* Managing the travel visits of Senior Management
* Make travel arrangement (train, car rentals) when not possible by central (corporate) team
* Helping deputed employees with process of opening a bank account & social security registration
* Assist in onboarding along with HR. Helping new joiners in configuration of laptop and providing phones / Access cards / ID
Admin
* Receiving invoices from vendors for all functions (Admin, HR, IT, etc.) and uploading the same on Coupa
* Ensure regular follow-up with India Finance team for vendor payments
* Co-ordinating with Insurance / Pension providers
* Liaising with Lawyers, Consultants and Tax authorities and sharing letters with translation with LTI teams for further action
* Receiving the documents from government offices and responding to them (Legal / Tax notices etc.) and sharing them to management in confidence
* Managing Signature and Storing of documents (Client agreements & Legal / Tax documents).
* Vendor registration and contract
* Facilitating Audits for all functions - HR, Immigration, Finance, Admin & GDPR.
* Attending monthly GDPR meetings. Providing the inputs required from DPO office
Finance
* Preparing the annual budgets for Admin. Making sure the actual cost does not exceed the budget provided
* Helping in cost optimization by searching the vendors providing the best prices / value
* Providing monthly expense provisions to Finance team
Other Tasks
* Assist in filing of Work Permits
* Issue invitation of letters for business visas
* Assist in providing Statutory Health Insurance Coverage to employees
* Coordinating with India payroll team on salary issues of resources, insurance letters for contributions, change in tax class
* Assisting in translations
Language Skills
* English
* Experience of working with Global teams is a plus
