The Finance assistant supports Finance officer in the processing of accounting
operations for coordination office in Erbil, he/she manages the cash for
Coordination Office and he/she helps the Finance team in finance tasks when
needed. He/she also supports Human Resources department in the contractual
management of national staff (attendance, contracts, archiving) and in the
administrative support of newly arrived international staff if needed.
Specific objectives and linked activities
‎1. ACCOUNTING

‎1. Cash and accounting management in the Coordination
* Is responsible for the sound management of the Erbil coordination office cashbox.
* Does all payments and manages operational advances processes after the validation of all responsible people.
* Updates the financial movements in the cashbooks.
* Checks daily the cashbook balance and the cash inventory and make sure there is no amount difference
* Supported by the finance officer/Manager, he/she will prepare of the monthly closure for the Erbil coordination office in accordance with the PUI procedures.
* Translates accounting documents if necessary
* Participates at the annual accounting closing with his Finance team and under the supervision of the Finance officer/Manager
* Participates to audits or possible inspections under the supervision of admin/Finance coordinator
* Manages the monthly phone and internet credit to the coordination staff.
‎1. Providing a technical support
* Controls of the enforcement of cash payments and accounting rules to the Coordination Base.
* Does the physical check of the hard/soft copy accounting of all the mission and ensure that the Procedure of hard/soft copy accounting is respected.
* Prepares and sends the monthly cashbook template to the bases after updating with the last 3rd part code and Finance contracts from SAGA.
* Supports administrative procedures for PUI legal representation in countries: POA, submission of DNGO reports
* Supported by the finance officer/Manager, he/she will prepare of the Yearly DNGO report.
* Support to administrative team on the Kurdistan income tax quarterly payment.
* Acts as translator when required.
‎1. Archiving
* Consolidates the hard and soft copy accounting of all the mission
* Guarantees the archiving of hard copy and digital accounting filing
* Prepares and sends to the HQ hard copy accounting of the mission every ‎3 months under the supervision of Finance Officer/Manager
‎1. Bank relations support
* He/she will support the Finance team in the maintenance of good relantionship with bank counterparts
* If requested, he/she will collect monthly statements, letters and communication between PUI and bank counterparts
‎1. OTHER DUTIES
* Ensure the confidential information that is dealt with the course of the work remain within the Admin and Finance department only and are not shared within or outside Première Urgence InternationaleRequired Profile
