About This Job:
This is a great new opportunity for you to join our dynamic, growing affiliate
in Egypt and be part of its transformation journey.
As Office Manager / PA to the General Manager, you will work directly with the
General Manager Egypt whilst also providing ad-hoc support to the Affiliate
Leadership Team.
You will be responsible for all facilities-related services within Astellas
Egypt Head Office such as real estate, security, IT, cleaning vendors etc.
Key Activities:
* You will manage meetings (including meetings with external participants), coordinate agenda’s, the availability of a suitable meeting room, catering, ensure the availability of meeting documents, take minutes if required
* Assurance of the continuity and compliance of all facilities related services as defined in the external service level agreements/contracts and internally defined processes ensuring a compliant, efficient and effective operation of Astellas Egypt Head Office (Cairo) primary processes.
* You will support the semi-annual Affiliate Business Review Process (Preparation, Archiving & Update, Administrative tasks)
* Monitoring day-to-day service delivery of the external suppliers based on the service level agreements, physical/visual results of services provided and direct communication with local personnel.
* Most of the services are provided by external suppliers based on well-established service level agreements and the Office Manager is responsible for managing the relationship with the vendor.
* In addition to facilities management, administrative support for senior management (Egypt Affiliate) will also be required.
Essential Knowledge & Experience:
* Proven experience in a secretarial/administrative experience within a global multinational organization in Egypt.
* Effective communicator. Should be fluent in English
* Strong organizational and prioritization skills.
* Ability to take ownership and initiative along with a problem solving and decision-making aptitude
* Intermediate/advanced knowledge of Microsoft Office packages.
* Well experienced in Stakeholder management
* Experience within Egypt is mandatory
Preferred Knowledge & Experience:
* Facilities management experience is preferred.
* Should have good working knowledge of SAP
Educations/Qualifications:
* Bachelor's degree or equivalent
